This is a fully remote position, open to applicants in United States.
• Deliver high-level executive assistance to members of Harbor's Executive Leadership Team, effectively managing complex and competing priorities among multiple executives.
• Proactively oversee priorities, urgency, sequencing, trade-offs, commitments, and conflicts.
• Manage intricate calendars and scheduling for executives across various geographies and time zones.
• Coordinate both domestic and international travel, including intricate itineraries and last-minute adjustments.
• Prepare executives for internal and external meetings by organizing agendas, materials, context, logistics, and follow-up.
• Oversee expense reporting and administrative documentation.
• Compose correspondence and internal communications.
• Serve as a trusted strategic partner, anticipating priorities and managing competing demands effectively.
• Represent senior leaders professionally with clients, Board members, investors, and internal stakeholders.
• Assist in the planning and tracking of key initiatives and business objectives.
• Maintain awareness of strategic priorities and ensure follow-through on action items.
• Act as a discreet and confidential gatekeeper.
• Interface with senior stakeholders across the UK, US, and global teams.
• Help facilitate operational alignment between leadership and execution teams.
• Support special projects and transformation initiatives.
• A minimum of 5 years of progressive executive support experience, including direct assistance to C-suite or senior executives.
• Experience in professional services, consulting, legal, financial services, complex client-service, or dynamic environments.
• Proven experience in independently managing complex calendars, travel arrangements, meeting preparation, communications, and competing priorities.
• Demonstrated ability to operate independently with sound judgment and minimal day-to-day direction.
• Proven discretion in handling highly confidential and sensitive information.
• Strong executive presence with the ability to interact credibly with senior internal and external stakeholders.
• Capability to anticipate executive needs, identify issues before they escalate, and determine appropriate next steps independently.
• Highly organized with exceptional attention to detail.
• Strategic thinking with strong execution capabilities.
• Excellent written and verbal communication skills.
• Strong interpersonal skills and executive presence.
• Ability to remain calm under pressure while managing competing priorities.
• Comfortable working independently while collaborating cross-functionally.
• Availability for standard working hours of 8:30 am–5:30 pm EST, with flexibility as required.
• Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams.
• Experience in a similar role related to office administration, facilities, operations, or executive support.
