This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee intricate and ever-changing calendars across various global time zones, which includes arranging internal and external meetings, leadership reviews, customer interactions, and strategic business conversations.

• Organize both domestic and international travel logistics, including itineraries, accommodations, transportation, and other related arrangements.

• Develop agendas, briefing materials, presentations, and background information for executive meetings and engagements.

• Anticipate the needs of executives and proactively prioritize tasks to enhance their effectiveness and productivity.

• Act as a trusted advisor and strategic partner to executive leadership by foreseeing challenges, proposing solutions, and facilitating the decision-making process.

• Lead and assist in special projects, executive initiatives, and cross-functional programs by setting objectives, monitoring milestones, tracking progress, and driving execution.

• Support organizational operating rhythms, which include leadership meetings, business reviews, team checkpoints, offsites, and all-hands meetings.

• Continuously seek opportunities to enhance administrative processes, communication flow, and operational efficiency.

• Function as a central communication hub between executives, leadership teams, cross-functional partners, customers, and external stakeholders.

• Manage relationships with executives and external contacts, proactively understanding stakeholder priorities and maintaining effective communication channels.

• Collaborate closely with executive assistants, business partners, and the Office of the CEO to ensure smooth coordination across teams and priorities.

• Demonstrate exceptional judgment, professionalism, discretion, and confidentiality in all interactions.

• Attend meetings as necessary, communicate agendas, document notes, track action items, and ensure accountability for commitments.

• Organize senior leadership meetings, strategic planning sessions, offsite events, and all-hands gatherings.

• Plan and implement large-scale, multi-day meetings and offsites, including venue selection, contract negotiations, vendor management, travel logistics, catering, team-building activities, and budget coordination.

• Ensure follow-through on commitments by tracking deliverables, surfacing deadlines, and guaranteeing timely execution across stakeholders.

• Tackle complex issues by identifying root causes, fostering consensus, and driving resolutions.

• Maintain a high standard of personal accountability while promoting the same expectations across teams.

• Assist in the onboarding and integration of new team members as required.

• Execute other duties and special projects as assigned.

• Travel occasionally as business needs dictate.


⛳️ Requirements

• Bachelor's degree or an equivalent combination of education and relevant experience.

• 7–10+ years of experience in supporting senior executives, Vice Presidents, C-level leaders, or Executive Leadership Team members in a dynamic, high-growth, or highly matrixed environment.

• Proven success in managing complex calendars, international travel, and competing priorities with minimal oversight.

• Exceptional organizational abilities, meticulous attention to detail, and competence in handling multiple priorities simultaneously.

• Strong project management skills with the capability to lead initiatives from inception to completion.

• Excellent written and verbal communication skills, accompanied by a polished and professional demeanor.

• Established ability to manage highly sensitive and confidential information with discretion.

• Strong judgment, critical thinking, problem-solving, and decision-making skills.

• Self-motivated individual capable of working independently while effectively collaborating across teams.

• Service-oriented mindset with a dedication to supporting high-performance leaders and teams.

• Ability to remain calm, flexible, and highly effective under pressure.

• Proven experience in utilizing AI technologies to enhance decision-making, streamline workflows and processes, improve efficiency, and drive business outcomes.
