This is a fully remote position, open to applicants in Texas.
• Meet monthly billing and accounting deadlines while ensuring timely billing for partners.
• Engage in outbound communication through phone, online chat, and email with various stakeholders.
• Coordinate state test site rentals with external vendors.
• Oversee billing and cost management related to state testing.
• Organize travel arrangements for school staff, including hotel bookings, car rentals, and conference registrations.
• Provide staff with information and training on individual expense reporting procedures.
• Supervise, train, and support administrative assistants reporting to the office.
• Manage the daily operations of the office team.
• Collaborate with PVS Teams to ensure accurate and timely data entry into various school and district information systems.
• Develop and update Standard Operating Procedures for schools.
• Responsible for the management of the school phone system.
• Handle mail and voicemail received in the office.
• Maintain and revise the Office Emergency Plan.
• Support the School Leadership Team with daily tasks and projects as needed.
• Assist families and school stakeholders with inquiries both in the office and over the phone.
• Preferred: Associate degree or higher.
• Strong aptitude for accuracy in reporting.
• Familiarity with state and reporting systems.
• Understanding of all aspects of billing, payment processing, and general accounting.
• Essential proficiency in Microsoft Office tools and web-based applications.
• Intermediate or higher skill level in MS Excel.
• Proficient in Google Applications (Mail, Calendar, Drive, Chat, Documents, etc.).
• Capability to multitask in a fast-paced environment.
• Ability to uphold privacy and confidentiality (FERPA compliance).
• Strong interpersonal skills and meticulous attention to detail.
• Excellent oral and written communication abilities.
• Customer-focused approach to service.
• High level of adaptability and flexibility.
• Proven ability to excel in a fast-paced team setting.
• Experience in K-12 education and/or state educational reporting is an advantage.
• Preferred: familiarity with computer-based information systems.
• Required travel and attendance at in-person events, including State Testing, throughout the school year as determined by the school.
• Flexibility to work from home and the Houston office as required.
