This is a fully remote position, open to applicants in United States.
• Oversee and strategically enhance intricate calendars spanning various time zones, which includes both domestic and international schedules, agenda preparation, and aligning executive time with business priorities.
• Manage external contacts and swiftly identify key stakeholders, proactively recognizing their significance to the business while maintaining effective communication and relationships.
• Exhibit a high degree of professionalism when addressing sensitive matters, employing sound judgment, discretion, and confidentiality.
• Anticipate the needs of executives and proactively coordinate the relevant stakeholders and resources to facilitate informed decision-making.
• Oversee special projects and work collaboratively with cross-functional stakeholders on initiatives that demand diplomacy, flexibility, and strong execution.
• Complete essential deliverables and special assignments by setting objectives, prioritizing tasks, managing timelines, fostering alignment, monitoring progress, and adjusting plans as necessary.
• Attend meetings, prepare agendas, document meeting notes, track action items, and ensure accountability for follow-through.
• Guarantee that executive priorities are effectively communicated and coordinated among administrative staff supporting critical cross-functional partners.
• Collaborate closely with executives, business partners, and executive assistants to organize meetings, events, and cross-functional initiatives.
• Propel the executive operating rhythm, which encompasses leadership meetings, Quarterly Business Reviews (QBRs), planning cycles, staff meetings, offsites, all-hands meetings, and executive communications.
• Organize agendas, presentation materials, and logistics for senior leadership meetings and executive events.
• Plan and manage large-scale, multi-day offsites, including venue selection, contract negotiations, vendor management, room block coordination, travel logistics, transportation, catering, team-building activities, and budget management.
• Tackle complex issues by determining root causes, building consensus, and driving timely resolutions.
• Establish and maintain trusted relationships with senior leaders, partner organizations, customers, and executive assistants to foster collaboration and accelerate execution.
• Consistently hold yourself and others accountable for commitments and deliverables.
• Continuously identify opportunities to enhance executive operations, streamline processes, leverage automation, and improve organizational effectiveness.
• Perform additional duties as assigned.
• 5–7 years of experience in executive support, including several years assisting Vice President-level executives or higher.
• Proven capability to independently manage projects from initiation to completion with minimal supervision.
• Experience supporting executives within Sales, Alliances, Partnerships, Revenue, or other Go-to-Market organizations is preferred.
• Familiarity with technology partner ecosystems is an advantage.
• Exceptional organizational skills with a keen attention to detail, capable of managing multiple priorities in a fast-paced, time-sensitive environment.
• Strong executive presence and the ability to foster trusted relationships with senior leaders and cross-functional stakeholders.
• Bachelor's degree is preferred.
• Experience with collaboration and productivity platforms such as G-suite (Google) Workspace, Slack, Zoom, and Navan is preferred.
• Excellent written and verbal communication skills.
• Demonstrated ownership, accountability, sound judgment, and a history of delivering results in a dynamic environment.
• Regular interaction with executive-level leadership is required.
