This is a fully remote position, open to applicants in Mexico.
• Oversee the Owner's calendar, meetings, priorities, and daily operations.
• Create agendas, meeting notes, reports, and follow-up action items.
• Organize digital files, project documentation, and shared resources efficiently.
• Assist with scheduling and coordination among various departments.
• Help track operational KPIs, case pipeline metrics, and departmental initiatives.
• Contribute to audits of case files, intake processes, and internal compliance protocols.
• Facilitate communication between consulting clients, attorneys, and internal teams.
• Aid in vendor coordination and operational follow-up tasks.
• Oversee operational projects, SOP updates, technology implementations, and training programs.
• Monitor deadlines and ensure timely completion of assigned tasks.
• Assist in the preparation of training materials, documentation, and internal resources.
• Identify opportunities for enhancing workflows and operational efficiency.
• Compose professional emails, internal communications, and executive correspondence.
• Coordinate communication among leadership, attorneys, paralegals, intake specialists, and administrative staff.
• Uphold confidentiality while managing sensitive legal and operational information.
• Promote effective collaboration across departments.
• A minimum of 3+ years of experience supporting executives in a U.S. law firm or professional services setting.
• Required experience in U.S. Personal Injury law; Georgia Personal Injury experience is advantageous.
• Advanced English proficiency (C1 or higher) with exceptional written and verbal communication skills.
• Excellent organizational and time management skills.
• Strong attention to detail and capability to manage multiple priorities simultaneously.
• High degree of professionalism, discretion, and emotional intelligence.
• Effective problem-solving abilities and a proactive approach.
• Comfortable working independently in a fully remote setting.
• Must be available to work during U.S. Eastern Time (EST) business hours.
