This is a fully remote position, open to applicants in Philippines.
• Conduct precise data entry and ensure records are consistently updated.
• Prepare, distribute, and oversee invoices promptly.
• Manage the receipt and dispatch of stock, guaranteeing accurate documentation and a seamless flow of goods.
• Provide exceptional administrative and executive assistance to the business owner and the internal team.
• Take charge of administrative, accounts, and operational processes with minimal oversight.
• Handle emails, phone calls, and correspondence, ensuring timely replies and proactive follow-ups.
• Organize and coordinate meetings, appointments, and travel arrangements.
• Maintain and arrange files, records, systems, and office documentation.
• Assist in the creation of reports, presentations, and business documents as needed.
• Monitor and follow up on payments, expenses, and reimbursements.
• Communicate confidently with external partners, suppliers, and service providers.
• Aid in the implementation and enhancement of internal standards, procedures, and workflows to boost business efficiency.
• Collaborate with team members to ensure tasks and projects are accomplished efficiently and on schedule.
• Uphold confidentiality, professionalism, and precision when handling sensitive company information.
• Prior experience in Administration, Accounts, Executive Assistance, or Operations support roles.
• A strong leadership mentality with the capability to take initiative, prioritize tasks, and work autonomously.
• Demonstrated experience in supporting executives and managing daily business operations.
• A proactive communicator who provides consistent updates and follows through on tasks without the need for close supervision.
• Extensive knowledge of Microsoft Office applications and CRM software.
• Highly organized with exceptional attention to detail and the ability to multitask efficiently.
• Comfortable collaborating across various business functions and supporting projects as necessary.
• Ability to establish structure, enhance processes, and implement administrative standards and procedures.
• Strong written and verbal communication skills in English.
