📋 Description

• Assist the Chief Communications Officer and the Global Head of Strategic Health Partnerships in converting event ideas and customer goals into detailed work plans, production schedules, run-of-show documents, task lists, and subsequent steps.

• Oversee the comprehensive production and execution of events and activations that highlight Thrive’s methodology at live gatherings, congresses, and customer programs, adhering to the strategy, objectives, and guidance set by Thrive leadership.

• Act as a primary point of contact for customer teams regarding event production on a daily basis, ensuring that their objectives are integrated into every activation and that they experience a seamless, top-tier service.

• Identify, brief, and manage external production service providers and vendors, holding them accountable for adhering to the agreed scope, timeline, and budget.

• Organize and facilitate multiple concurrent events and shows, ensuring that logistics, timelines, and stakeholders are synchronized across a busy calendar of congresses and activations.

• Keep event work plans, calendars, action-item trackers, guest and speaker logistics, approval deadlines, production documents, and status updates maintained so that internal teams and vendors stay aligned.

• Collaborate with communications, content, social, creative, and video teams to manage event-related materials, approvals, signage, presentations, scripts, content capture, and social media assets.

• Assist in scheduling, preparing briefing materials, arranging travel, coordinating rehearsals, greenroom requirements, and other logistical needs for Thrive leaders, customer executives, speakers, and guests.

• Be present on the event floor to oversee setup, manage live execution, and address issues in real-time when unexpected situations arise.

• Manage event closeout activities, including vendor reconciliation, final billing, asset collection, follow-up items, and documentation of significant outcomes and lessons learned.


⛳️ Requirements

• 3–5 years of experience in event coordination, exhibit management, or experiential marketing – preferably within a trade show or event agency, exhibit house, or on the client side managing a congress calendar.

• Demonstrated success in managing multiple simultaneous events or shows, rather than handling just one at a time.

• Hands-on experience on-site during shows – this is essential; you have been present when challenges arise and know how to navigate recovery.

• Proven experience in selecting and overseeing production vendors and service providers according to scope, budget, and deadlines.

• Ability to work closely with senior leaders and customer teams in a high-visibility, fast-paced environment.

• Preferred experience in coordinating across communications, content, creative, social media, and production teams.

• Background in healthcare, pharmaceuticals, corporate communications, or another regulated field is advantageous but not mandatory.

• Willingness and ability to travel frequently and work occasional evenings and weekends.
