Employee Services Manager

📋 Description

• Become part of a team focused on enhancing employee experience by managing inquiries related to payroll, expenses, and paid time off (PTO).

• Supervise communication with employees, addressing questions post-onboarding, including access to the GX1 portal.

• Coordinate employee meetings with key stakeholders, documenting minutes and outlining actionable items.

• Work in conjunction with internal teams and in-country partners to facilitate the resolution of outstanding cases.

• Uphold the employee experience throughout their lifecycle while adhering to the Service Level Agreements (SLAs) established with clients.

• Foster relationships with employees, clients, and critical departments such as Finance and Sales.

• Draft both internal and external communications regarding modifications to employment laws and processes.

• Prepare for employee review meetings and assist management in addressing service-related issues.

• Identify opportunities to strengthen employee relations and enhance processes.

• Lead initiatives aimed at improving employee experience and operational efficiency.


⛳️ Requirements

• Manage communication with employees, addressing general inquiries following onboarding, including but not limited to access to the GX1 portal, employment-related concerns, personal time off, payroll, and expense management.

• Organize and facilitate employee meetings as required, engaging key stakeholders, documenting minutes, defining clear actions and outcomes from discussions, and disseminating this information to the relevant parties.

• Collaborate with key stakeholders, including internal teams, employees, and in-country partners, to effectively move forward with the resolution of all open cases, such as service issues and unique requests. Follow the timelines established by your manager for resolution.

• Oversee the employee experience throughout the employee lifecycle, ensuring compliance with SLAs set with our clients and employees.

• Develop constructive relationships with employees, clients, local partners, and essential internal departments such as Finance, Sales, and Implementation to deliver agreed-upon services.

• Prepare and issue internal and external communications as necessary, including drafting employee communications for client approval regarding changes to employment laws, payroll or expense processes, timelines, and schedules.

• Get ready for, and actively participate in, regular employee review meetings, presenting information as required, including open cases, end dates, terminations, and costs.

• Assist management in addressing service or process issues within the operations team, coordinating with suppliers, internal personnel, and client contacts as needed.

• Identify opportunities to improve employee relationships, enhance team performance, and refine internal processes in collaboration with your manager.

• Promote employee engagement through diverse strategies by analyzing employee pulse check survey results and presenting key areas for improvement to your manager. Initiate and conduct courtesy calls, providing feedback to your manager.

• Participate in and lead special projects aimed at improving employee experience, efficiency, and process evaluations in conjunction with your manager.

• Clearly communicate offboarding procedures to all relevant stakeholders, including clients, employees, and internal teams, ensuring a thorough maintenance of systems.

• Accurately document the reasons for offboarding, paying special attention to Client Terminations that require Mutual Termination Agreements. In the event of a Client Termination, ensure a comprehensive handover is provided to the appropriate Client Services Manager.

• Ensure the completion of all necessary offboarding documentation, such as resignation letters and the finalization of payroll and termination of benefits coverage.

• Maintain compliance with legal and regulatory requirements concerning employee offboarding.

• Collaborate with stakeholders to ensure the accurate and timely processing of final pay, including unused vacation and other entitlements.
