• Responsible for all elements of invoice submissions through various e-billing platforms.
• Addressing e-billing issues for the law firm's clients utilizing e-billing.
• Oversee all stages of the e-billing lifecycle, which includes matter setup, timekeeper rate submissions, invoice preparation, electronic submission, rejection resolution, and payment tracking.
• Initiate and set up new matters in Aderant and the designated e-billing vendor portals.
• Submit and maintain timekeeper rates and budget details within e-billing platforms.
• Prepare and electronically submit invoices across multiple e-billing vendor portals.
• Investigate and resolve issues related to invoice rejections, reductions, and appeals.
• Act as the main point of contact with counterparts in client accounting and e-billing departments.
• Monitor billing and payment activities for assigned matters utilizing Excel and internal reporting tools.
• Keep track of incoming prebills and invoices to guarantee timely electronic submission and completion within specified deadlines.
• Deliver detailed reports on e-billing status, submission timelines, outstanding balances, and trends in rejections.
• Collaborate with billing coordinators, attorneys, and support staff to ensure precise and prompt resolution of billing inquiries and client requests.
• Troubleshoot technical problems within e-billing platforms.
• A minimum of three to ten years of e-billing experience in a mid-to-large law firm.
• Practical proficiency across various e-billing vendor platforms (e.g., Legal Tracker, CounselLink, Collaborati, TyMetrix 360, Passport, Legal-X).
• High school diploma required; Bachelor’s degree preferred.
• Experience with Bill Blast or E-Billing Hub.
• Familiarity with Aderant or Elite billing systems.
• Strong critical thinking and analytical abilities.
• Exceptional written and verbal communication skills.
• Proficient in Microsoft Outlook, Word, and Excel.
• Understanding of and proficiency with AI tools and emerging technologies.
• Advanced Excel skills, including VLOOKUP/XLOOKUP, pivot tables, formulas, data validation, conditional formatting, and report reconciliation.
• Experience in reviewing outside counsel guidelines and client billing requirements.
• Capability to troubleshoot and resolve coding, formatting, and technical issues related to LEDES files and e-billing vendor platforms.
• Strong knowledge of LEDES formats including LEDES 1998B, 1998BI, XML, and specific invoice formatting requirements of clients.
