E-Commerce Operations Coordinator – Wholesale Jewelry, Retail Operations

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Daily oversight of retail vendor portals to ensure that products are active, compliant, and accurately priced

• Manage the process of uploading new products into retail systems from start to finish

• Proactively identify and address portal issues to prevent disruptions in retailer operations or orders

• Monitor portal notifications, alerts, and exceptions for timely resolution

• Keep comprehensive logs of portal activities, alerts, and actions taken

• Perform weekly research on competitors and the retail market across major websites

• Collect pricing, assortment, and promotional information for review by leadership

• Assist in preparing leadership for retailer meetings through organized data retrieval and research

• Observe retailer activity, shifts in assortment, and changes in promotions

• Provide clear, organized, and actionable market intelligence reports

• Conduct pricing audits across retail systems and verify against internal pricing lists

• Maintain precise pricing trackers and associated documentation

• Highlight discrepancies and prioritize issues based on their business impact

• Support ongoing consistency in pricing across all active retail channels

• Compile weekly exception reports detailing pricing issues, anomalies, and portal-related concerns

• Structure reports in a clear and actionable format for leadership review

• Proactively escalate operational risks and unresolved issues

• Ensure adherence to existing reporting templates and structures

• Maintain internal trackers, including pricing logs, issue logs, and task trackers

• Keep documentation organized and continuously updated

• Foster operational visibility and institutional knowledge across workflows

• Ensure accurate audit trails and status tracking across operational activities

⛳️ Requirements

• 3–5 years of experience in retail operations, wholesale operations, vendor portal operations, or related operational roles

• Practical experience with retail vendor portals such as DSCO, Retail Link, SPS Commerce, or equivalent systems

• Proficient in Microsoft Excel, including advanced formulas, tracker development, formatting, and structured data management

• Strong written communication skills in English

• Exceptional attention to detail with a proactive approach to problem-solving

• Experience dealing with pricing data, operational workflows, and structured reporting

• Ability to work independently in fast-paced and dynamic environments

• Long-term perspective with a desire to grow along with the business

• Familiarity with AI tools like Claude, Gemini, or similar workflow-enhancement platforms

• Proficient in Microsoft Office applications, including Excel and Word
