E-commerce Operations Assistant

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Oversee and predict inventory levels utilizing established templates

• Strategize and implement inventory replenishment

• Issue purchase orders to suppliers

• Arrange shipments with freight carriers

• Monitor inventory flow and ensure lead times are adhered to

• Process customer orders twice each day (morning & afternoon)

• Download order reports and upload them into shipping software (ShipStation)

• Create and organize shipping labels according to SKU

• Dispatch sorted labels to the warehouse for fulfillment

• Upload tracking numbers back into Walmart

• Review and validate purchase orders from Walmart

• Coordinate inventory availability with the warehouse and vendors

• Schedule and oversee carrier pickups

• Generate necessary documentation:

• Bill of Lading (BOL)

• Advanced Shipment Notice (ASN)

• Invoice

• Maintain inventory levels across all sales channels

• Track international shipments with 60–90 day lead times

• Provide vendors with weekly production quotas

• Assist with pricing and sourcing (manufacturers + freight)

• Accurately record all transactions in QuickBooks

• Keep financial records organized and tidy

• Conduct daily checks on product listings and ad placements

• Enter inventory received from vendors

• Open and manage cases with Amazon/Walmart when issues occur

• Exceptional attention to detail (mandatory)

• Capability to adhere to SOPs and processes accurately

• Proficiency in Excel/spreadsheets

• Basic knowledge of QuickBooks (invoicing, order entry)

• Strong organizational and time management abilities

• Familiarity with Amazon FBA or Walmart Seller Center (preferred)

• Knowledge of ShipStation or similar shipping tools (preferred)

• Experience in inventory planning or supply chain operations (preferred)
