This is a fully remote position, open to applicants in United States.
• Build, develop, and manage a high-performing clinical admissions team by recruiting, hiring, and onboarding Clinical Admissions Managers, Leads, Therapists, and Associates to support admissions growth.
• Provide supervision, both individually and in groups, to a team of master's level clinicians, fostering their professional growth and development.
• Establish clear objectives and expectations, track performance metrics, and manage team performance through coaching, constructive feedback, and accountability.
• Mentor and coach managers and leads, enhancing their leadership capabilities and their ability to develop and manage their own teams.
• Cultivate a culture of engagement, retention, and sustainability within a remote team that operates in an emotionally challenging environment.
• Assign treatment team members and manage group schedules while keeping staff informed of new admissions.
• Oversee the intake and assessments of potential clients for national virtual intensive outpatient programming.
• Lead and support managers, therapists, and associates in converting prospective clients to care, ensuring clinical appropriateness and facilitating timely scheduling into programming.
• Ensure the completion of HIPAA-compliant virtual biopsychosocial assessments for adolescents, young adults, and adults dealing with various mental health issues.
• Assess appropriateness and compatibility for the virtual intensive outpatient program (IOP) level of care, equipping the team to make consistent and accurate fit assessments.
• Accelerate admission processes by reducing the time from assessment to scheduled start, allowing clients to begin care without unnecessary delays.
• Formulate provisional mental health diagnoses based on DSM-5-TR criteria.
• Identify and connect with the right staff for crisis intervention, safety assessments, or a higher level of care (HLOC) as required during the intake process.
• Demonstrate and coach effective, personable communication that establishes rapport with clients in a compassionate, inclusive, and professional manner.
• Ensure that programming information is delivered comprehensively and supportively to facilitate client access to care.
• Conduct monthly chart audits to guarantee compliance and uphold quality assurance standards.
• Document client information in compliance with regulatory standards using the electronic medical record system.
• Lead change management efforts, facilitating the seamless implementation and adoption of new processes, workflows, and policies within the admissions team.
• Develop, refine, and scale admissions processes that enhance speed, quality, consistency, and conversion rates as team and client volumes increase.
• Monitor team and funnel performance, identify bottlenecks, and implement enhancements that elevate both clinical quality and operational efficiency.
• Collaborate with various departments to ensure clinically appropriate admissions and effective team performance, working closely with the Director of Clinical Admissions.
• Team up with Clinical Leadership, Admissions, Compliance, Revenue Cycle Management, and Utilization Review to identify growth opportunities while developing, improving, and delivering policies and procedures that enhance the client experience and increase the effectiveness of the admission process.
• Ensure the accomplishment of projects and initiatives that better assist clients in accessing care.
• Perform additional duties as assigned.
• A minimum of 5 years of experience in behavioral health is required.
• A Master’s degree in mental health or a related field is required.
• If an internal candidate, at least 1 year of experience with Charlie Health is necessary.
• At least 2 years of experience in a supervisory role is required (3+ years preferred).
• Proven track record in building, scaling, hiring for, and managing team performance, preferably in a high-growth or high-volume setting.
• Experience in leading change management and process improvement initiatives, including the implementation and adoption of new workflows.
• Independent mental health licensure is required (all disciplines are welcome).
• Experience working with adolescents, young adults, and adults is preferred.
• Strong project management skills, with a demonstrated ability to organize and manage details in a fast-paced, dynamic environment.
• Ability to energize, motivate, communicate, and build relationships at all levels within an organization.
• High proficiency in using electronic medical record (EMR) systems, Zoom, Google Workspace, and other communication platforms.
• Must be authorized to work in the United States and possess native or bilingual English proficiency.
• Access to reliable technology resources for delivering uninterrupted, confidential, and compliant telehealth services is essential.
• Availability to work a flexible schedule that may include days, evenings, and weekends as needed; minimal travel is expected.
