This is a fully remote position, open to applicants in United States.
• The Director of Administration is tasked with executing daily administrative duties that assist the Chief Program Officer (CPO) and the SVP of Program Operations and New Initiatives (SVP, PONI), while collaborating closely with Program leaders and key partners in ASPCA Operations to establish and enhance systems.
• Provide a strong, unifying voice that promotes collaboration across teams and locations, fostering an efficient and respectful team culture, while also spearheading process and communication improvements to ensure that the entire Program team receives the leadership and support required to fulfill our mission successfully.
• Work in partnership with and provide direct support to the Chief Program Officer; collaborate with and support the SVP Program Operations and New Initiatives; and engage with the Senior Director, Portfolio Management, Programs.
• Manage and safeguard calendars. Schedule and prioritize all appointments, resolve scheduling conflicts, and organize group meetings, conferences, teleconferences, and travel arrangements.
• Oversee special projects and initiatives as assigned by the CPO and/or SVP, PONI.
• A Bachelor’s degree or equivalent professional experience is required.
• A minimum of 7 years of experience providing administrative support, including at least 2 years at the executive level, with responsibilities such as managing calendars for others and providing logistical support for ongoing tasks and priorities.
• A minimum of 2 years of experience in people management is required.
• At least 3 years of experience arranging travel for others (e.g., booking flights, hotels, etc.) and organizing meeting arrangements (both virtual and on-site) is required.
• Familiarity with animal welfare is preferred.
• Strongly preferred is experience in budgeting support and expense reporting for others.
• Preferred experience includes project management.
• Experience in event and/or conference planning, setup, and execution is preferred.
• Required experience includes taking meeting minutes and outlining and assisting in leading next steps.
• Writing and editing experience is strongly preferred.
• Proficiency in various computer programs, including Outlook, Excel, and PowerPoint, along with a quick adaptability to new technologies is necessary.
• Excellent verbal and written communication skills, including a strong command of grammar, editing, and proofreading, are essential.
