This is a fully remote position, open to applicants in United States.
• Comprehend the structure and components of the child support program, along with its functional, business, and strategic requirements.
• Serve as a gatekeeper by managing incoming emails and utilizing knowledge of child support, in addition to leadership priorities and needs, to organize email folders and draft responses.
• Organize and maintain a detailed calendar of events and meetings with OCSE managers, partners, and stakeholders.
• Collaborate with other HHS/ACF program offices to gather information for cross-program initiatives and inter-agency meetings.
• Oversee a travel portfolio that includes speaking engagements and conference attendance by securing travel arrangements, completing necessary documentation, creating agendas and itineraries, researching relevant background materials, and ensuring that leadership is informed of major or controversial issues.
• Participate in both in-person and virtual meetings, preparing agendas, meeting spaces (including coordinating technology needs in Teams and with tech support), meeting summaries, and action items; assist with staff debriefs following meetings.
• Monitor sources and due dates for action items, including urgent data calls, and ensure leadership is responsive by independently drafting responses.
• Work closely with the OCSE leadership team and key staff to provide ongoing attention to significant reports, action plans, program direction, program achievements, etc.
• Perform detailed analyses of actions, plans, proposals, and program recommendations submitted for leadership review to ensure alignment with and advancement of the leadership's goals, objectives, and strategies.
• Conduct or direct special studies or lead workgroups on major and/or cross-cutting issues that require coordinated and/or timely attention.
• Coordinate inter-office workgroups on designated special projects.
• Define the scope of work, prepare interim and final reports/products resulting from the group's efforts, and brief leadership on workgroup progress, challenges, and/or outcomes.
• Follow up on critical and sensitive action requests, issues, and priorities, tracking ongoing efforts and reports to identify existing and potential obstacles while providing authoritative technical guidance.
• Develop reports that illustrate the overall status of various projects and initiatives, keeping leadership informed of work progress to determine necessary further management actions.
• Collaborate closely with leadership to establish and identify program goals and objectives, set priority areas, and review fiscal year work plans and operating procedures.
• Prepare leadership for meetings, conferences, etc., by developing and preparing agenda items, researching background materials relevant to the meeting or conference, and ensuring leadership is informed of major issues and questions.
• Attend national child support conferences and other meetings at the request of leadership.
• Maintain critical information in an organized manner, allowing staff to utilize it effectively and access it easily.
• Keep documents organized in SharePoint, Confluence/JIRA, and Teams.
• Act as a thought partner to leadership by understanding how to pose the right questions to the appropriate individuals in order to fulfill the responsibilities outlined above.
• Over 8 years of relevant experience
• US Citizenship Required: No
• Ability to obtain a Public Trust
• Proficiency in Microsoft Office tools, particularly Outlook, Teams, Word, SharePoint, and PowerPoint
• Experience with Confluence/JIRA
• Familiarity with Adobe Acrobat Pro
• Capability to manage multiple tasks simultaneously, respond effectively to ad hoc requests, and meet critical deadlines
