📋 Description

• Direct a team of managers overseeing CTMS service delivery, which includes calendar configurations, financial entries, and tracking study activations.

• Foster the professional and technical growth of the assigned managers.

• Monitor, assess, and report consolidated productivity, quality, and efficiency metrics to ensure teams meet overall objectives and to assist in departmental planning, resource distribution, and operational decision-making.

• Supervise the training process to guarantee that new employee development aligns with operational requirements.

• Oversee the quality management process to ensure that final outputs meet internal standards.

• Monitor staffing resources, formulate hiring strategies, and manage operational decisions concerning talent, including the selection of new team members.

• Act as a primary operational liaison during new client onboarding as a subject matter expert, ensuring new site clients are integrated onto the appropriate CTMS platform in accordance with internal standards and client expectations.

• Create and continuously assess team processes, templates, tools, and strategies to enhance efficiency, quality, scalability, and overall departmental performance.

• Serve as the point of contact between CTMS services and Business Development to aid in the expansion of existing relationships through new sales opportunities.

• Collaborate with the client management team to ensure suitable strategies are implemented when client issues or new opportunities emerge.

• Identify and apply new CTMS operational strategies, processes, and solutions tailored to meet the evolving needs of clients and ensure high client satisfaction.

• Cultivate a comprehensive understanding of site client requirements and expectations, prioritize effectively, and manage deliverable planning, execution, and problem resolution with mitigation strategies.

• Develop escalation pathways and decision-making standards for intricate CTMS service issues, ensuring managers possess the tools, guidance, and authority necessary to consistently and effectively address operational challenges.

• Distribute staffing and operational resources across CTMS service teams to align capacity with client demand, departmental priorities, and business goals.

• Mentor the CTMS Services team on study start-up principles essential for cross-divisional deliverable coordination, ensuring consistent and disciplined execution.

• Provide leadership through subordinate managers and uphold accountability for the performance, engagement, development, and productivity of multiple interconnected CTMS services teams, while collaborating with Human Resources for support and guidance on personnel matters.

• Perform other tasks as assigned by the supervisor, which may occasionally be unrelated to the described position.

• Attendance and punctuality are critical functions of this role.


⛳️ Requirements

• At least 8 years of industry experience specifically in CTMS services, study activation, or clinical trial management.

• Strongly preferred knowledge of clinical research processes within health systems and academic medical centers.

• Preferred background in Coverage Analysis and study budget formulation.

• Familiarity with CTMS platforms and management strategies.

• Proven success in leadership roles that involve direct oversight of other employees.

• Ability to make strategic decisions concerning operational workflows, departmental objectives, resource allocation, and team priorities.

• Excellent (written/oral) communication and critical thinking skills, including analysis, judgment, problem-solving, ethics, and interpersonal skills; must collaborate effectively with clients and coworkers in a team setting.

• Demonstrated ability to lead through influence and negotiation.

• Strong conflict resolution, problem-solving, and decision-making abilities required.

• Experience in tracking and analyzing operational performance metrics.
