This is a fully remote position, open to applicants in Costa Rica.
• Oversee and structure the CEO’s email correspondence and communications
• Identify and highlight urgent emails while assisting in prioritizing responses
• Manage calendars, schedule meetings, set reminders, and conduct follow-ups
• Facilitate the progression of projects and tasks from pending to completion
• Compile notes, summaries, and operational follow-up documents
• Research and identify nationwide vendors, such as: Steel suppliers, Erection crews, Specialty construction vendors
• Collect and organize vendor details, including: Contact information, Pricing, Service areas, Availability
• Maintain searchable databases and spreadsheets for vendor information
• Follow up with vendors to acquire any outstanding information
• Update and manage product listings on WordPress
• Upload and arrange product photos and images from projects
• Utilize Adobe Photoshop or comparable tools to resize and optimize images for online use
• Assist in revising product descriptions and website content
• Help ensure product pages are visually organized and accurate
• Organize project photos and video assets from construction endeavors
• Create basic marketing videos for social media and website usage utilizing existing content
• Maintain orderly media libraries and digital assets
• Collaborate with leadership on marketing priorities and timelines
• Manage deliveries, scheduling, and logistics tasks
• Assist in tracking materials, shipments, and operational schedules
• Support internal reporting and other operational administrative functions
• Aid in daily operational problem-solving and coordination
• Perform data entry and manage documentation
• Organize digital files and internal systems
• Handle routine administrative tasks
• Provide support as necessary to ensure efficient operational processes
• Prior experience in: Executive support
• Operations coordination
• Administrative support
• Vendor coordination
• Project coordination
• Strong organizational and multitasking skills
• Excellent written and verbal communication abilities in English
• Comfortable conducting vendor research and making professional outbound calls
• Experience with updates to WordPress websites
• Familiarity with Adobe Photoshop, Canva, or similar design applications
• Basic video editing skills for marketing or social media content
• Strong capabilities in spreadsheet and data organization
• Ability to work autonomously and manage several shifting priorities
• Resourceful, proactive, and solution-focused approach
• Nice to Have
• Experience in supporting executives or business owners
• Background in construction, logistics, or vendor management
• Proficient in Excel or Google Sheets
• Experience managing operational workflows in fast-paced environments
• Familiarity with organizing marketing content and managing digital assets
