This is a fully remote position, open to applicants in Colombia.
• Oversee and streamline the CEO’s inbox and communications.
• Highlight urgent emails and aid in prioritizing responses.
• Manage calendars, schedule meetings, set reminders, and follow up accordingly.
• Facilitate the transition of projects and tasks from pending to completed status.
• Compile notes, summaries, and operational follow-up documents.
• Research and locate vendors across the nation, including steel suppliers, erection crews, and specialty construction vendors.
• Collect and organize vendor details such as contact information, pricing, service areas, and availability.
• Maintain searchable databases and spreadsheets for vendors.
• Follow up with vendors to gather any missing information.
• Update and manage product listings on WordPress.
• Upload and categorize product images and project photos.
• Utilize Adobe Photoshop or similar tools to resize and optimize images for web use.
• Assist in refreshing product descriptions and website content.
• Help ensure product pages are visually organized and accurate.
• Organize project photos and video assets related to construction builds.
• Create simple marketing videos for social media and website utilization using existing materials.
• Maintain orderly media libraries and digital assets.
• Collaborate with leadership on marketing priorities and timelines.
• Coordinate deliveries, scheduling, and logistics tasks.
• Assist in tracking materials, shipments, and operational schedules.
• Support internal reporting and administrative operational tasks.
• Aid in daily operational problem-solving and coordination.
• Conduct data entry and manage documentation.
• Organize digital files and internal systems.
• Execute recurring administrative tasks.
• Provide support as needed to ensure efficient operations.
• Prior experience in executive support.
• Proven track record in operations coordination.
• Background in administrative support.
• Experience in vendor coordination.
• Familiarity with project coordination.

• Comfortable with vendor research and making professional outbound calls.
• Experience in updating WordPress websites.
• Proficient in Adobe Photoshop, Canva, or similar design tools.
• Basic video editing skills for marketing or social media content.
