Dental Receptionist, Scheduler

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Schedule appointments for new patients, routine checkups, orthodontic consultations, follow-ups, and emergency visits across all practice locations.

• Respond to inbound calls and messages from parents and guardians requesting appointments, rescheduling, or inquiries about services.

• Make outgoing recall and reminder calls to patients who are due for appointments or have not yet scheduled follow-up care.

• Manage requests for same-day and emergency appointments, as our practice accommodates emergency walk-ins and last-minute bookings, requiring prompt and accurate scheduling.

• Confirm upcoming appointments through phone, text, and email, and update records when patients reschedule or cancel.

• Maintain fully optimized schedules for providers across pediatric dentistry and orthodontics at all locations.

• Act as a warm, professional, and knowledgeable first point of contact for every parent and guardian who reaches out.

• Address patient inquiries regarding services, providers, office hours, appointment logistics, and what to expect, particularly for families with anxious or first-time patients.

• Communicate clearly and reassuringly with parents about their child's appointments, treatment schedules, and follow-up requirements.

• Professionally manage a high volume of inbound communications through phone, email, and online channels promptly.

• Embody the practice's core values of warmth, expertise, and a genuine passion for caring for children in every interaction.

• Process new patient registrations by collecting demographic information, medical/dental history, and insurance details.

• Ensure that patient records are complete, accurate, and up-to-date in the practice management system.

• Assist new patients and families in filling out intake forms and understanding the registration process.

• Coordinate referrals from Phoenix Children's Hospital and other referring providers to ensure a smooth intake experience.

• Verify patient insurance eligibility and benefits prior to appointments using payer portals and phone verification.

• Confirm coverage for common pediatric dental services, including exams, cleanings, x-rays, fillings, orthodontics, and sedation.

• Clearly communicate insurance benefit information to parents, including co-pays, deductibles, and coverage limitations.

• Identify insurance-related issues or coverage gaps to report to the billing team for follow-up.

• Maintain accurate and organized patient records and appointment notes in the dental practice management system.

• Coordinate scheduling among multiple locations and providers, including pediatric dentists, orthodontists, and the anesthesiology team.

• Support teledentistry appointment scheduling and virtual consultation coordination.

• Assist with general administrative tasks such as data entry, patient file management, and front office correspondence.


⛳️ Requirements

• A minimum of 1 year of experience in a dental, medical, or healthcare front office or receptionist role.

• A warm, friendly, and patient communication style — genuinely enjoy working with families and children.

• Strong verbal and written communication skills — each interaction reflects the practice's professionalism.

• Organized and detail-oriented, with the capability to manage a high volume of appointments and communications simultaneously.

• Comfortable using dental or medical practice management software.

• Ability to work independently and maintain focus in a remote setting during busy call periods.

• Professional, reliable, and responsive — families depend on you to provide accurate information quickly.

• Experience in a pediatric dental, orthodontics, or multi-specialty dental practice.

• Familiarity with dental insurance verification processes, including eligibility checks, benefit breakdowns, and payer portal navigation.

• Knowledge of CareStack or similar dental practice management platforms.

• Proficiency in Spanish — a significant advantage given the diverse patient community we serve (translation services are a priority for the practice).

• Experience working in a multi-location dental or medical practice environment.
