This is a fully remote position, open to applicants in United States.

📋 Description

• Act as the main liaison for a portfolio of mid-level clients, managing their needs and expectations throughout the entire project lifecycle.

• Supervise the implementation of client projects from inception to completion, ensuring timely delivery, budget compliance, and adherence to client specifications while maintaining the highest quality standards.

• Maintain consistent communication with clients, addressing their questions, providing updates, and ensuring overall satisfaction.

• Collaborate with Sales, Account Management, and Operations teams to identify and resolve any process bottlenecks, ensuring seamless operations and adherence to schedules.

• Contribute to the creation and enhancement of documentation, ensuring clarity and accessibility for the team while keeping all project documentation current and accurately reflecting the status of each project.

• Monitor project progress and proactively tackle any issues that arise, keeping internal teams informed and applying best practices for resolution.

• Assist in gathering project costs from vendors, suppliers, and internal sources, and create quote documents.

• Facilitate invoicing processes with the commercial team, key account managers, and finance.

• Aid in the preparation of project proposals, estimates, and manage project budgets while maintaining P&L documentation.

• Serve as a point of escalation for client issues, resolving them in a way that preserves positive client relationships.

• Identify client change orders and manage internal teams and process transitions to execute change orders on schedule, including the creation of change order documentation.

• Prepare and manage invoices for exhibit storage fees, prep in/out fees, and I&D supervision. Monitor late exhibit returns and follow up accordingly. Quote and apply freight charges to all orders.

• Be open to travel as necessary for project fulfillment.

• Prepare and present regular reports on client satisfaction, project outcomes, and service performance to the team.

• Analyze client feedback and project results to pinpoint areas for improvement and contribute to the ongoing enhancement of the client services team.


⛳️ Requirements

• Bachelor’s degree in business administration, marketing, or a related field.

• At least 1 year of experience in a Project Coordination role or a similar position.

• Excellent organizational and time management abilities.

• Strong communication and interpersonal skills.

• Experience in building and maintaining client relationships.

• Proficiency in Microsoft Office and familiarity with project management tools are essential.
