This is a fully remote position, open to applicants in Philippines.
• Assess POA documentation and accompanying information for thoroughness and precision.
• Confirm company registration, business status, officer details, and addresses utilizing appropriate online platforms.
• Investigate and pinpoint potential red flags, discrepancies, or signs of shell companies.
• Adhere to established compliance protocols and escalate questionable cases for further evaluation.
• Perform additional research when information necessitates clarification or verification.
• Systematically organize and store new client documents in designated folders following established procedures.
• Keep accurate records of validation status, outstanding documents, and completed reviews.
• Ensure documents are systematically organized and stored in the appropriate location.
• Comply with established SOPs and documentation requirements.
• Send professional email reminders for missing or incomplete documentation.
• Address routine inquiries related to the validation process.
• Escalate complex compliance inquiries or concerns to the appropriate team member.
• Manage sensitive client information, including identification documents, EINs, and company records, with utmost confidentiality.
• Adhere to access controls and security protocols when managing client information.
• Use only the systems and folders necessary for fulfilling assigned tasks.
• Prior experience in customs brokerage, logistics, import/export, compliance, documentation, or a related field.
• Exceptional attention to detail and ability to recognize inconsistencies or red flags.
• Strong written English and professional email communication skills.
• Proficient research, organizational, and follow-up abilities.
• Capability to adhere to detailed procedures while exercising sound judgment.
• High degree of integrity and discretion when managing confidential information.
• Comfortable working autonomously and escalating issues as necessary.
• Experience with U.S. customs or customs brokerage is preferred.
• Familiarity with POA documentation or importer validation is preferred.
• Experience researching U.S. business registrations or Secretary of State records is preferred.
• Familiarity with ClickUp, Microsoft Outlook, and AI tools is preferred.
• Schedule must align with the client's U.S. business hours.
• Fully remote work arrangement.
• Full-time position, approximately 40 hours per week.
• Comprehensive initial training on the client's compliance process.
• Limited system and folder access based on assigned responsibilities.
• Opportunity to assume additional customs, logistics, and administrative responsibilities as the role evolves.
