This is a fully remote position, open to applicants in United States.
• Support the onboarding process for new clients by organizing meetings, collecting and tracking necessary documentation, and coordinating with internal teams on subsequent actions.
• Keep onboarding checklists, client tracking systems, and project timelines current and organized.
• Engage in client calls, document action items, monitor follow-ups, and keep stakeholders updated.
• Oversee a portfolio of 25 or more accounts while ensuring accuracy, efficiency, and adherence to deadlines.
• Attend regular A/R meetings alongside the Customer Success Manager and Account Managers.
• Aid in the setup of systems, which includes enrollment with clearinghouses, payer mapping, and validating connectivity.
• Securely maintain records of system logins, access credentials, and platform-specific information.
• Monitor the health of client accounts and alert internal teams and management to any issues.
• Gather and organize data for client meetings.
• Professionally communicate with clients through email, phone, and video conferencing.
• Collaborate with billing, utilization review, and benefits verification teams to address client inquiries and concerns.
• Contribute to special projects and initiatives aimed at continuous process improvement.
• Undertake additional projects and responsibilities as assigned.
• Minimum of 3 years’ experience in medical billing, A/R management, or client onboarding, ideally in behavioral health or multi-specialty practices.
• Previous experience in a client-facing capacity supporting Spravato® and/or ketamine treatment programs is essential.
• Strong understanding of professional medical billing workflows.
• Familiarity with CollaborateMD and Kipu EMR is a significant advantage.
• Knowledge of ASAM and LOCUS billing criteria is highly sought after.
• Outstanding attention to detail with the capability to adhere to structured processes while adjusting to changing client needs.
• Excellent communication skills and the ability to thrive in a team-oriented, cross-functional setting.
• Proficient in Microsoft Office, particularly Outlook, Word, and Excel.
• A professional home working environment, including reliable phone and internet access.
• Capacity to perform in a fast-paced, dynamic, and at times, high-pressure setting.
