Crew Manager

This is a fully remote position, open to applicants anywhere in the world.

📋 Description

• Coordinating with the Crewing Department and Port Agents regarding the schedule for crew joinings;

• Ensuring that all sign-on crew members are assigned cabins based on their entitlements and/or availability;

• Welcoming and meeting all sign-on crew members upon their arrival;

• Collecting and verifying all travel and employment documents for sign-on crew before they board the ship;

• Providing general orientation for new crew members if necessary;

• Communicating with port agents in advance of scheduled port arrivals to discuss and receive clearance requirements for crew;

• Coordinating accommodation and travel arrangements for sign-off crew with the Crewing Department;

• Managing immigration and customs formalities and transfer arrangements for sign-off crew with port agents;

• Addressing financial matters related to sign-off crew in collaboration with the vessel’s Finance Department;

• Working with the vessel’s Doctor and the Crewing Department on medical repatriation cases;

• Collaborating with the HR Manager and onboard departments on crew-related issues that require immediate attention;

• Ensuring that all necessary documents for crew arrival and departure port clearance are prepared on time and that clearance is obtained as quickly as possible;

• Coordinating with the vessel’s security to confirm that all crew members are onboard before sailing;

• Sending copies of the crew change report, departure crew list, and Par Level report to the Crewing Department and onboard departments immediately after sailing from ports of call;

• Reviewing crew data and documents in the Crew Management System Modules to ensure they are consistently up to date;

• Coordinating with the HR Manager and the Crewing Department on matters concerning crew contracts, ensuring all contracts are signed by crew members and copies are forwarded to the Crewing Department;

• Assisting in the implementation and organization of onboard crew recognition programs initiated by the Company;

• Maintaining the personnel filing system in accordance with Company standards and requirements;

• Reviewing ship-specific personnel-related forms and recommending updates or revisions to meet current and future operational needs;

• Checking and reviewing the Specific Familiarization Checklist and training needs of Personnel Section staff;

• Ensuring that all personnel staff read and acknowledge the Company manuals stored in the Management System;

• Facilitating crew involvement in the Company’s Corporate Social Responsibility (CSR) projects;

• Reviewing purchase requisitions for the Personnel Department;

• Compiling a supply list of items/materials required for the annual needs of the Personnel Department;

• Assisting in the preparation of the Personnel Section for both internal and external audits in coordination with the HR Manager and the Crewing Department;

• Announcing the schedule for Cabin Inspections;

• Representing a positive image of our Cruises to guests, officers, crew, and government officials;

• Fostering professional relationships across all functions while promoting a positive and harassment-free work environment that respects cultural differences, backgrounds, and individual personalities;

• Keeping the working area clean and safe, and handling tools and equipment with care;

• Complying with all safety regulations and using suitable personal protective equipment (PPE) during work activities;

• Participating in emergency drills and responding to actual emergencies as specified in the Muster List;

• Adhering to and following all Company Policies and Procedures, Manuals, and Directives;

• Performing the duties and tasks outlined above, but not limited to these responsibilities.

• Experience in crew management or a related field.

• Ability to coordinate across multiple departments and stakeholders.

• Strong organizational and multitasking capabilities.

• Familiarity with crew and ship operations.

• Excellent communication skills.

• Understanding of safety regulations and standards within the maritime industry.

• Ability to project a positive image of the company.

• Experience dealing with government officials and navigating regulatory requirements.
