This is a fully remote position, open to applicants in Malaysia.
• Prepare and submit statutory documents to the Companies Commission of Malaysia (SSM).
• Assist in the incorporation of companies and statutory modifications regarding directors, shareholders, registered office addresses, constitutions, share capital, and other corporate issues.
• Draft board resolutions, members' resolutions, meeting minutes, consent forms, and other related corporate secretarial documentation.
• Maintain and update statutory registers, company records, minute books, and compliance-related documentation.
• Monitor filing deadlines, ensuring the timely submission of annual returns, statutory forms, and other mandatory lodgments.
• Ensure adherence to the Companies Act 2016, SSM requirements, and relevant corporate regulations.
• Liaise with clients, directors, shareholders, auditors, tax agents, regulators, and other professional entities.
• Assist in due diligence exercises, document reviews, and requests for company information extraction.
• Support the team with operational matters related to Singapore corporate secretarial tasks.
• Aid in the preparation of standard corporate secretarial documents for entities based in Singapore.
• Coordinate internal workflows concerning filings, resolutions, and compliance deadlines.
• Engage in training and development focused on Singapore corporate governance and compliance procedures.
• Maintain accurate records and organized filing systems.
• Track work progress, deadlines, and deliverables for clients.
• Contribute to process improvement and standardization initiatives.
• Diploma, degree, or professional qualification in Corporate Administration, Business Administration, Law, Accounting, or a related discipline.
• A minimum of 2–3 years of experience in corporate secretarial roles within Malaysia.
• Practical experience with SSM lodgments and Malaysian statutory compliance matters.
• Strong understanding of the Companies Act 2016 and standard corporate secretarial procedures.
• Experience in preparing resolutions, statutory forms, registers, and corporate records.
• Proficient in written and spoken English.
• Excellent organizational skills and keen attention to detail.
• Ability to handle multiple priorities and meet deadlines independently.
• Comfortable communicating with clients and professional service providers.
