This is a fully remote position, open to applicants in Malaysia.
β’ Prepare and submit statutory documents to the Companies Commission of Malaysia (SSM).
β’ Assist in the incorporation of companies and statutory modifications regarding directors, shareholders, registered office addresses, constitutions, share capital, and other corporate issues.
β’ Draft board resolutions, members' resolutions, meeting minutes, consent forms, and other related corporate secretarial documentation.
β’ Maintain and update statutory registers, company records, minute books, and compliance-related documentation.
β’ Monitor filing deadlines, ensuring the timely submission of annual returns, statutory forms, and other mandatory lodgments.
β’ Ensure adherence to the Companies Act 2016, SSM requirements, and relevant corporate regulations.
β’ Liaise with clients, directors, shareholders, auditors, tax agents, regulators, and other professional entities.
β’ Assist in due diligence exercises, document reviews, and requests for company information extraction.
β’ Support the team with operational matters related to Singapore corporate secretarial tasks.
β’ Aid in the preparation of standard corporate secretarial documents for entities based in Singapore.
β’ Coordinate internal workflows concerning filings, resolutions, and compliance deadlines.
β’ Engage in training and development focused on Singapore corporate governance and compliance procedures.
β’ Maintain accurate records and organized filing systems.
β’ Track work progress, deadlines, and deliverables for clients.
β’ Contribute to process improvement and standardization initiatives.
β’ Diploma, degree, or professional qualification in Corporate Administration, Business Administration, Law, Accounting, or a related discipline.
β’ A minimum of 2β3 years of experience in corporate secretarial roles within Malaysia.
β’ Practical experience with SSM lodgments and Malaysian statutory compliance matters.
β’ Strong understanding of the Companies Act 2016 and standard corporate secretarial procedures.
β’ Experience in preparing resolutions, statutory forms, registers, and corporate records.
β’ Proficient in written and spoken English.
β’ Excellent organizational skills and keen attention to detail.
β’ Ability to handle multiple priorities and meet deadlines independently.
β’ Comfortable communicating with clients and professional service providers.
