
Conveyancing Assistant – Queensland Conveyancing

This is a fully remote position, open to applicants in Philippines.
• Assist in handling both residential and commercial conveyancing matters from the initial file opening through to settlement.
• Draft legal correspondence, transfer documents, settlement paperwork, and other relevant documentation.
• Initiate and maintain electronic files while ensuring precise record keeping.
• Track key dates, settlement timelines, and contractual milestones.
• Keep organized and current file notes.
• Prepare settlement statements along with necessary supporting documentation.
• Establish and manage PEXA workspaces.
• Coordinate settlements with solicitors, lenders, mortgage brokers, real estate agents, and government authorities.
• Review settlement figures and documentation before the actual settlement.
• Execute post-settlement administration, lodgements, and client correspondence.
• Act as a primary point of contact for clients throughout the conveyancing process.
• Deliver timely progress updates and respond to inquiries in a professional manner.
• Collaborate with lenders, brokers, solicitors, and real estate agents to ensure seamless transactions.
• Follow up on outstanding searches, finance requirements, and settlement conditions.
• Ensure adherence to Queensland conveyancing legislation and internal protocols.
• Complete AML/CTF and client identity verification obligations.
• Assist in upholding compliance with industry standards and firm policies.
• Identify potential issues that may affect settlement and escalate them as necessary.
• Open new conveyancing files.
• Monitor settlement timelines and key dates.
• Prepare transfer and settlement documents.
• Manage PEXA workspaces.
• Prepare settlement statements.
• Coordinate with lenders regarding finance and discharge authorities.
• Liaise with clients, brokers, solicitors, and real estate agents.
• Follow up on searches, requisitions, and outstanding documentation.
• Complete AML and identity verification requirements.
• Maintain accurate electronic file records.
• Respond to client emails and phone inquiries.
• Complete post-settlement administration.
• Demonstrated experience in Queensland (QLD) conveyancing.
• Background in supporting residential and/or commercial conveyancing transactions.
• In-depth knowledge of Queensland conveyancing legislation and processes.
• Proficient in using PEXA.
• Familiarity with LEAP Legal Software.
• Experience with InfoTrack.
• Understanding of AML/CTF compliance and identity verification procedures.
• Excellent written and verbal communication skills.
• Strong organizational and time management capabilities.
• High level of attention to detail and accuracy.
• Ability to manage multiple files and competing priorities effectively.
• Strong problem-solving and stakeholder management skills.
• Experience working in an Australian conveyancing or property law firm (preferred).
• Experience in supporting a high-volume conveyancing practice (preferred).
• Knowledge of trust accounting processes (preferred).
• Preferred Software & Tools: LEAP Legal Software, PEXA, InfoTrack, Microsoft Office Suite, Microsoft Outlook, Adobe Acrobat.
