This is a fully remote position, open to applicants in United States.
• Manage customer contracts, purchase orders, change orders, and associated agreements throughout the entire contract lifecycle.
• Establish, review, maintain, modify, amend, and finalize contracts.
• Examine purchase orders, contracts, flowdowns, and terms and conditions for accuracy, completeness, compliance, and alignment with approved business practices.
• Assess contractual requirements, obligations, deliverables, milestones, funding, performance timelines, schedules, reporting obligations, and customer flowdowns.
• Identify risks, exceptions, and necessary internal actions, escalating issues as needed.
• Prepare and preserve contract modifications, amendments, change requests, approvals, correspondence, and contract documentation.
• Ensure the accuracy of ERP orders and maintain comprehensive and precise contract files.
• Monitor deliverables, funding, performance timelines, delivery schedules, invoicing obligations, and outstanding action items.
• Collaborate with Sales, Program Management, Finance, Engineering, Quality, Operations, Supply Chain, customers, suppliers, and other stakeholders.
• Assist in proposal development, contract reviews, customer negotiations, change management, issue resolution, disputes, and contract closure.
• Utilize Salesforce CRM to facilitate proposal, quote, and contract review processes.
• Act as the primary point of contact for routine customer contract inquiries and correspondence.
• Ensure compliance with customer requirements, company policies, laws and regulations, FAR/DFARS clauses, export control, cybersecurity, quality standards, and government registration systems.
• Manage NDAs, Teaming Agreements, and other business contracts.
• Create reports and maintain contract metrics for management's insight into status, performance, and compliance.
• Enhance contract administration processes, templates, tracking tools, workflows, policies, and standardized procedures.
• Support Vitesse Systems’ goals for quality, safety, continuous improvement, transparency, and collaboration.
• Execute additional duties as assigned.
• Bachelor’s degree in Business, Finance, Legal Studies, Contract Management, or a related field; equivalent experience may be accepted.
• 2–5 years of experience in contract administration, procurement, subcontracts, legal operations, or related business roles.
• Experience in reviewing and administering commercial and/or government contracts.
• Familiarity with DoD contracting environments and aerospace/defense customers is preferred.
• Experience with ERP systems; Global Shop Solutions experience is highly desired.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
• Experience with PIEE, OASIS, SAM.gov, or similar government systems is preferred.
• Familiarity with FAR, DFARS, and Uniform Contract Format is preferred.
• Strong organizational, detail-oriented, and analytical skills.
• Excellent verbal and written communication abilities.
• Willingness to work across multiple locations in a high-growth organization.
• Familiarity with working in a manufacturing environment.
• Ability to operate with minimal supervision and adapt to changing demands.
• Willingness to work flexible hours and overtime, including evenings and weekends, with or without prior notice.
• High school diploma or GED; or 2 years of related experience; or an equivalent combination of education and experience.
• Ability to comprehend basic safety and manufacturing instructions.
• Ability to perform basic arithmetic operations using specified decimal and numerical ranges.
• Authorization to work in the United States.
• Eligibility for required U.S. Government export-control authorizations.
• Capability to perform designated physical activities and lift/move up to 50 pounds.
• Proficiency in using ERP and payroll time-tracking software.
• Remote work location.
