Commercial Operations Coordinator – All Genders

This is a fully remote position, open to applicants in Germany.

📋 Description

• Take charge of the commercial coordination layer, enabling leadership and senior commercial team members to concentrate on opportunity strategy, client relationships, and deal progression, with assurance that the operational framework is functioning effectively.

• Manage the sales pipeline in HubSpot, ensuring a high standard of data quality and hygiene.

• Monitor opportunities, follow-ups, and subsequent steps for all active deals.

• Assist in the processes of qualification, disqualification, and pipeline triage.

• Deliver clear and reliable pipeline visibility to leadership whenever needed.

• Organize meetings, follow-ups, and internal next steps for active opportunities.

• Sustain momentum in commercial discussions — avert deal stagnation caused by process gaps.

• Aid in event follow-up, lead tracking, and smooth opportunity handovers.

• Collaborate with leadership and cross-functional teams on priority deals.

• Assist in preparing proposals, client presentations, and commercial documents.

• Help structure presentations, briefing notes, and meeting preparations for active opportunities.

• Maintain essential sales collateral (one-pagers, use cases, proposal templates).

• Ensure that client-facing materials are up-to-date, organized, and easily accessible.

• Coordinate with external lead-generation partners.

• Track inbound leads and sourced opportunities throughout the funnel.

• Support follow-up and handover processes across partner channels.

• Monitor channel activity and contribute to basic effectiveness reporting.

• Prepare weekly overviews of pipeline and sales status.

• Facilitate commercial reviews and updates for leadership.

• Assist in refining internal sales workflows and maintaining process discipline.

• Contribute to establishing a more structured and predictable commercial operation.


⛳️ Requirements

• 2–5 years of experience in commercial operations, sales support, business development support, or commercial coordination.

• Proficient working knowledge of CRM systems, with a preference for HubSpot.

• Comfortable using Apple Keynote and other tools for creating polished client-facing materials.

• Familiar with project and coordination tools like Monday.com.

• Experience with Apollo or similar lead-generation/contact management tools is advantageous.

• Practical and confident utilization of GenAI tools for expedited drafting, structuring, and summarizing tasks.

• Exceptional organizational skills and strong follow-up discipline.

• High attention to detail, making you a natural fit for process-driven environments.

• Experience in supporting proposals, presentations, and various client-facing commercial materials.

• A structured, proactive, and highly dependable working style.

• Strong written and verbal communication skills in both English and German.
