This is a fully remote position, open to applicants in United States.
• Establish communication with anesthesia clinicians after contract signing and guide them through the onboarding process, site orientation, system access, credentialing, enrollment, and privileging requirements.
• Monitor onboarding progress and ensure accurate clinician data is maintained in Salesforce and other internal systems.
• Gather clinician availability, preferences, competencies, and shift commitments from anesthesiologists, CRNAs, and AAs.
• Develop and uphold monthly anesthesia schedules in Qgenda for OR blocks, call coverage, late rooms, and post-call relief.
• Align schedules with anesthesia care team models, supervision ratios, state and payer regulations, and site-specific case mix requirements.
• Oversee shift confirmations, cancellations, swaps, late room run-overs, and APAY/Holiday Pay entries.
• Collaborate with medical directors, lead CRNAs, and hospital OR/perioperative leadership to address coverage gaps.
• Ensure First Schedule Dates and clinician details are accurately logged in Salesforce.
• Confirm Qgenda payroll hours, resolve discrepancies, and coordinate payroll submissions.
• Assist clinicians with inquiries regarding pay and reimbursements and keep track of expense reimbursements.
• Act as the primary point of contact for designated anesthesia clinicians, fostering engagement, retention, and issue resolution.
• Facilitate offboarding processes, including documentation, final pay items, and call/stipend reconciliations.
• Support reporting and analytics related to clinician satisfaction, schedule quality, open shift rates, premium spending, and post-call compliance.
• Identify potential enhancements to workflows and scheduling logic, and aid in standardization, automation, training, and cross-functional alignment.
• High school diploma or GED is mandatory.
• An associate or bachelor’s degree in business, healthcare, or a related field is preferred.
• A minimum of 3 years of experience in customer service, clinician support, or healthcare operations scheduling.
• At least two years of experience in a customer service role.
• Familiarity with the anesthesia care team model and supervision ratio concepts.
• Knowledge of OR block scheduling, call coverage models, post-call rest expectations, and late room dynamics.
• Experience in scheduling large volumes of healthcare staff or clinicians is advantageous.
• Previous experience in a professional or medical office environment is beneficial.
• Experience with anesthesia scheduling is a plus.
• Excellent organizational, verbal and written communication, follow-up, and problem-solving skills.
• Capability to multitask in fast-paced, high-volume settings with a keen attention to detail.
• Proficient in negotiating and collaborating with clinicians and perioperative leaders.
• Ability to work effectively within a team environment.
