This is a fully remote position, open to applicants in South Africa.
• Act as the primary point of contact for clients through phone, email, CRM, and client portals.
• Oversee both incoming and outgoing communications with clients.
• Address client inquiries with professionalism and urgency.
• Deliver outstanding customer service while showcasing empathy, patience, and professionalism.
• Follow up with clients concerning pending requests, documentation, and outstanding invoices.
• Conduct discovery calls with potential clients.
• Recognize client needs and recommend suitable services.
• Provide answers to basic accounting and tax-related questions.
• Qualify leads and arrange strategy sessions when necessary.
• Keep comprehensive notes and records in the CRM.
• Facilitate client onboarding processes.
• Update and maintain records in the CRM.
• Assist with documentation, workflows, and standard operating procedures (SOPs).
• Support various administrative projects and operational enhancements.
• Aid in implementing updates related to the firm's expansion into North Carolina.
• Conduct warm outreach to existing leads and prospects within the firm's ecosystem.
• Follow up on inquiries resulting from marketing channels and social media funnels.
• Re-engage inactive leads and clients.
• Support initiatives focused on client retention and relationship-building.
• Assist with client invoicing using QuickBooks.
• Provide basic client reports when requested.
• Monitor and follow up on unpaid invoices.
• At least 3–4 years of experience in an administrative, client services, virtual assistant, or customer success position.
• Experience in an accounting, bookkeeping, tax, financial services, or similar professional services environment.
• Basic knowledge of:
• Tax preparation
• Accounting principles
• Bookkeeping concepts
• Small business financial operations
• Excellent verbal and written communication skills.
• Proven experience managing client calls and customer service interactions.
• Technical Skills:
• Microsoft Outlook
• Microsoft Teams
• Microsoft 365 Suite
• CRM systems
• QuickBooks (or a strong willingness to learn quickly)
• Preferred Experience:
• Familiarity with tax or accounting firm CRMs (TaxDome or similar platforms).
• Experience in client onboarding.
• Experience with lead qualification and discovery calls.
• Background in supporting professional service firms.
