
Clerical Quality Assurance Coordinator

This is a fully remote position, open to applicants in California.
• Accept client submissions and enter client and examinee data into the system.
• Ensure all cases include the necessary information for the clinical review process.
• Maintain regular communication with the Clinical QA Department regarding workflow and the status of pending reports.
• Document all processes, communications, report statuses, and due dates meticulously.
• Keep a daily log of files that need follow-up, clarification, or present concerns in the tracker.
• Review completed reports for accuracy and completeness, checking for proper formatting, grammar, and sentence structure.
• Ensure that all invoicing is processed daily and complies with company practices and client contract agreements.
• Respond promptly to incoming inquiries from physicians or clients regarding report status or information.
• Collaborate with transcriptionists and/or physicians’ offices for report details, clarification, addendums, etc.
• Confirm that all medical records and reports are appropriately documented and stored in the correct location.
• Alert management about any issues or concerns regarding reports.
• Adhere to HIPAA compliance practices, as well as state and federal safety standards and legal regulations.
• Encourage effective and efficient use of clinical resources and supplies.
• Perform additional duties as assigned.
• High school diploma or equivalent is required.
• At least one year of clerical experience or an equivalent combination of education and experience is preferred.
• Prior experience in a medical office or the insurance industry is preferred.
• Must have comprehensive knowledge of general computing, faxing, copying, scanning, and telephony.
• Familiarity with various software programs is essential, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.
• A thorough understanding of HIPAA regulations and compliance is required.
• Must be a competent typist with a minimum speed of 40 W.P.M.
• Ability to follow instructions and accurately respond to management's directives.
• Demonstrates precision and thoroughness in work.
• Actively seeks ways to enhance quality and monitors personal work to ensure standards are met.
• Must exhibit exceptional communication skills by accurately conveying necessary information, listening effectively, and asking clarifying questions when needed.
