This is a fully remote position, open to applicants in California.
• Process client submissions and enter client and examinee information into the system.
• Confirm that all cases include the necessary information for the clinical review process.
• Maintain regular communication with the Clinical QA Department regarding workflow and the status of outstanding reports.
• Document all processes, communications, report statuses, and due dates effectively.
• Keep a daily log of files that need follow-up, clarification, or have concerns in the tracker.
• Receive finalized reports and assess them for completeness and accuracy, including correct formatting, grammar, and sentence structure.
• Ensure all invoicing is completed and billed daily in alignment with company practices and client contract agreements.
• Promptly manage and respond to incoming communications from physicians or clients inquiring about report status or information.
• Collaborate with transcriptionists and/or physicians’ offices regarding report specifics, clarifications, addendums, etc.
• Confirm that all medical records and reports are accurately documented and stored in the appropriate locations.
• Inform management of any report-related issues or concerns.
• Ensure all practices comply with HIPAA regulations, state and federal safety standards, and legal requirements.
• Facilitate the effective and efficient utilization of clinical resources and supplies.
• Execute other duties as assigned.
• A high school diploma or equivalent is required.
• At least one year of clerical experience, or an equivalent combination of education and experience, is preferred.
• Experience in a medical office or the insurance industry is preferred.
• Must have a complete understanding of general computer operations, including fax, copier, scanner, and telephone.
• Proficiency in various software programs, such as Microsoft Word, Outlook, Excel, and the Internet, is essential.
• A thorough understanding of HIPAA regulations and compliance is required.
• Must be a proficient typist with a minimum typing speed of 40 W.P.M.
• Ability to follow instructions and accurately respond to management's directions.
• Demonstrates precision and thoroughness in work.
• Actively seeks ways to enhance quality and monitors personal work to ensure standards are met.
• Must exhibit exceptional communication skills by accurately conveying information, listening attentively, and asking clarifying questions as needed.
