This is a fully remote position, open to applicants in Colombia.
• Take charge of the CEO’s calendar by prioritizing effectively, scheduling accurately, and establishing clear follow-up intervals.
• Oversee, organize, and manage executive inboxes to ensure that crucial messages, requests, and deadlines are not overlooked.
• Facilitate meetings involving internal teams, external partners, candidates, and various stakeholders.
• Conduct daily and weekly reviews of the calendar to minimize conflicts and maintain alignment within leadership.
• Organize travel logistics for executives related to business trips, speaking engagements, and associated schedules.
• Evaluate incoming speaking opportunities and assist in directing the right events to leadership's attention.
• Aid in the onboarding process, track PTO, manage Gusto requests, and support other people operations workflows.
• Help with monthly budget reconciliations, QuickBooks assessments, invoice approvals, and follow-up on finance administration.
• Assist in managing insurance renewals, audits, compliance documentation, and related administrative tasks.
• Ensure that reporting documents, inventory forecasts, travel updates, and business coordination details remain accurate and up to date.
• **Must-Have:**
• Over 5 years of experience in roles such as Executive Assistant, Operations Assistant, Administrative Manager, or a similar position.
• Comprehensive experience in calendar management, inbox oversight, scheduling, and executive support.
• Exceptional written and verbal communication skills in English.
• Keen attention to detail and the ability to follow through on multiple deadlines.
• Capability to manage confidential information with utmost professionalism and discretion.
• Comfort in working independently in a remote startup environment.
• Strong organizational judgment and the foresight to anticipate needs proactively.
• **Nice to Have:**
• Background in supporting a founder, CEO, or senior executive.
• Familiarity with tools such as Gusto, Google Workspace, QuickBooks, Bill.com, Slack, or similar platforms.
• Experience in HR administration, finance operations, or compliance coordination.
• Background in startups or experience within a lean, high-ownership team.
• Exposure to travel coordination, speaking engagements, or event logistics.
