This is a fully remote position, open to applicants in United States.
• Oversee and arrange the CEO’s inbox and communications.
• Identify high-priority emails and assist in prioritizing responses.
• Facilitate calendar scheduling and meetings.
• Prepare notes, reminders, and follow-up actions.
• Assist in advancing projects and tasks from “pending” to “completed.”
• Provide support to leadership with daily operational coordination.
• Research and locate vendors nationwide, including steel suppliers, erection crews, and specialty construction vendors.
• Collect contact information, pricing, service areas, and availability.
• Maintain organized and searchable spreadsheets/databases.
• Follow up with vendors to obtain any missing information.
• Ensure vendor records are accurate and updated for internal purposes.
• Update product listings and content within WordPress.
• Upload and organize product photographs and project images.
• Utilize Adobe Photoshop or similar software to resize, crop, and optimize images.
• Assist in maintaining accurate and visually appealing product pages.
• Support updates to product descriptions and related website content.
• Organize project photos and videos from completed builds.
• Create simple marketing videos utilizing existing photo/video assets.
• Help maintain orderly media libraries.
• Collaborate with leadership on content priorities and timelines.
• Coordinate deliveries and scheduling.
• Assist with tracking materials and logistics.
• Support reporting and operational administrative tasks.
• Help eliminate operational bottlenecks and enhance daily efficiency.
• Conduct data entry and documentation.
• Organize digital files and systems.
• Manage recurring administrative tasks.
• Offer support to the team wherever needed to ensure smooth operations.
• Highly organized and detail-oriented.
• Strong follow-through and accountability.
• Excellent written and verbal communication skills.
• Comfortable researching vendors and making calls.
• Experience with WordPress.
• Familiarity with Adobe Photoshop, Canva, or similar tools.
• Basic video editing skills for simple marketing/social media content.
• Strong spreadsheet and organizational capabilities.
• Ability to manage multiple tasks simultaneously.
• Resourceful, proactive, and solutions-oriented.
• Comfortable working independently in a remote setting.
