This is a fully remote position, open to applicants in New York.
• Oversee the management of company software systems, ensuring that platforms are consistently updated and functional.
• Supervise scheduling, invoicing, workforce coordination, and daily operational tasks.
• Guarantee that technicians accurately record information and adhere to established procedures.
• Address system and operational challenges before escalating issues to management.
• Investigate AI tools and process enhancements to aid in business growth and operational efficiency.
• Maintain operational reports, dashboards, and internal documentation effectively.
• Facilitate communication among technicians, staff, and management.
• Track workflows and pinpoint opportunities for enhanced productivity and organization.
• Execute other duties associated with the position as assigned.
• Proficient in English, both written and spoken.
• Outstanding interpersonal and communication abilities, fostering effective collaboration with clients, colleagues, and team members.
• Prior experience as a Business Development Assistant, Operations Assistant, or in comparable professional positions.
• Strong sense of ownership and accountability in all tasks.
• Highly responsible, proactive, reliable, and detail-oriented.
• Excellent research, critical thinking, and problem-solving capabilities.
• Familiarity with software, digital tools, and technology systems.
• Experience in the HVAC industry is a significant advantage for this role.
• Comfortable managing multiple tasks and platforms simultaneously.

• Ability to juggle multiple responsibilities in a fast-paced setting.
• Quick learner of new systems, software, and workflows.
• Proficient in Microsoft Office (Word, Excel, Outlook) and standard business tools (email, spreadsheets, document management).
