This is a fully remote position, open to applicants in New York.
• Act as the main coordinator for Brand team operations, ensuring alignment across priorities, timelines, and deliverables.
• Oversee and manage intricate calendars across various time zones.
• Assist in prioritizing tasks and tracking workflows to ensure initiatives progress smoothly.
• Keep key documents, timelines, and team resources organized.
• Plan, organize, and execute multifaceted meetings (including QBRs, leadership reviews, and team sessions).
• Coordinate logistics such as scheduling, agendas, materials, venues, and technology.
• Provide support during meetings to ensure flawless execution.
• Facilitate the coordination of forward-looking plans, including follow-ups from QBRs and tracking cross-team actions.
• Enhance team engagement by supporting offsites, team events, and recognition initiatives.
• Lead and coordinate the development of a strategic plan to adopt and optimize AI across the Brand organization.
• Collaborate with cross-functional stakeholders to uncover opportunities for AI-driven efficiencies and improved workflows.
• Monitor the progress of AI-related initiatives to ensure they align with broader brand objectives.
• Assist in change management by documenting processes, sharing best practices, and promoting adoption.
• Supervise procurement and scope of work (SOW) support among vendors.
• Manage global travel arrangements and create detailed itineraries.
• Handle expense reporting and perform monthly reconciliation of credit card statements.
• Aid in budget tracking, timelines, and documentation.
• Assist with onboarding coordination and team-wide processes.
• Collaborate with internal stakeholders, including Legal, HR, Finance, and leadership teams, to meet team and organizational objectives.
• Cultivate strong relationships at all levels of the organization.
• Identify areas for improved coordination and operational efficiency.
• Outstanding organizational and time management capabilities with a keen attention to detail.
• Ability to prioritize and manage various assignments with little oversight.
• Strong judgment and aptitude for handling sensitive and confidential information with discretion.
• Excellent written and verbal communication skills.
• High level of professionalism along with a customer-service orientation.
• Ability to remain composed, adaptable, and solutions-focused in a fast-paced, ambiguous setting.
• Strong interpersonal skills with the capacity to build trust and collaborate effectively.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
• Comfort with emerging technologies and an interest in leveraging AI to enhance workflows and team performance.
