This is a fully remote position, open to applicants in Philippines.
• Participate in weekly pipeline meetings to stay informed about deal flow and collaborate directly with individual Sales and Consulting leads to gather specific billing information.
• Ensure incorporation into relevant client email threads to capture PO numbers and billing contacts.
• Maintain precise data across HubSpot (Sales), QuickBooks (Finance), and cash flow models to avoid revenue double-counting or forecasting inaccuracies.
• Track payment deadlines, issue reminders, and escalate to the Finance Director only when deemed necessary.
• Establish new client accounts and keep contact information current.
• Compile and present weekly reports on pipeline status, invoicing, and pending POs to directors.
• Collaborate with administrators to ensure all expenses are accounted for, pursuing missing receipts, and uploading them accurately to AutoEntry.
• Reconcile supplier invoices, batch payments, prioritize them by urgency, and present clear payment runs for the Finance Director's approval.
• Partner with the Finance Director to maintain cash flow documents, budgets, and forecasts.
• Review ledgers to identify erroneous spending, unused subscriptions, or overspending, and flag these issues for action.
• Perform daily reconciliation of bank feeds to ensure real-time accuracy.
• Manage journals, accruals, and prepayments to prepare accounts for the accountant's review.
• Produce standard financial reports, including Aged Debtors and P&L snapshots.
• Maintain a well-organized digital filing system for audit trails.
• Identify gaps and inefficiencies in current systems and implement enhancements.
• Optimize reporting, forecasting, and billing processes to improve financial hygiene.
• Take responsibility for financial administration tasks to instill confidence and trust in reporting accuracy among directors.
• Minimum of 5 years of experience in financial administration, bookkeeping, or related finance roles.
• Strong knowledge of UK/British accounting practices is essential.
• Experience within a consulting firm or consultancy environment is preferred.
• Demonstrated expertise in financial modeling, forecasting, and budgeting.
• Proficiency in Excel and accounting software such as QuickBooks and AutoEntry.
• Familiarity with HubSpot or similar CRM systems is highly desirable.
• Proven capability to manage multiple stakeholders, including directors, consultants, and clients.
• Excellent written and verbal communication skills.
• Highly organized, detail-oriented, and capable of working independently.
• Confident, proactive, and able to take initiative in a dynamic, senior role.
• Demonstrated ability to identify and implement improvements in financial operations.
