This is a fully remote position, open to applicants in Belize.
• Participate in telemedicine appointments and accurately document the discussions between the provider and patient in the electronic medical record.
• Input pertinent information, including the patient's primary concern, medical history, medications, diagnoses, treatment plans, and provider instructions.
• Ensure timely completion of documentation and navigate finished charts through the clinic's designated review and completion process.
• Prepare patient charts ahead of appointments by reviewing previous notes, medications, laboratory results, referrals, and relevant medical history.
• Identify any missing information, pending results, incomplete documents, or authorization issues that could impact the upcoming visit.
• Relay important chart updates or outstanding tasks to the provider and clinic team prior to the appointment.
• Input laboratory orders, select the appropriate laboratory facility, and associate orders with the correct diagnosis based on provider instructions.
• Process prior authorization requests for medications, procedures, or services and follow up with insurance companies as needed for additional information.
• Apply for referral authorizations when necessary and ensure all required documents are completed before finalizing the chart.
• Facilitate translation between English and Spanish during patient interactions, telemedicine visits, phone calls, and follow-up communications.
• Effectively communicate provider instructions, appointment details, authorization updates, and next steps to Spanish-speaking patients.
• Assist with patient scheduling, follow-up appointments, referral coordination, laboratory instructions, and general patient inquiries.
• Manage phone responsibilities when not actively scribing, averaging approximately 40 calls per day when coverage is necessary.
• Provide backup administrative support and keep the clinic team informed about urgent issues, incomplete tasks, and patient follow-ups.
• Proficient in both spoken and written English and Spanish, with the capability to translate medical conversations accurately.
• Comfortable listening to provider-patient discussions and typing clear, concise, and accurate clinical notes.
• Knowledgeable in medical terminology, patient charts, medications, laboratory workflows, referrals, and insurance-related processes.
• Strong computer skills with the ability to learn clinic-specific systems and workflows.
• Excellent attention to detail, organizational skills, communication abilities, and time management skills.
• Comfortable managing both live medical scribing and phone-based patient coordination tasks.
• A minimum of six months of medical scribe experience is preferred.
• Previous experience as a Medical Virtual Assistant, medical scribe, patient coordinator, or in healthcare administrative support roles.
• Experience in chart preparation, electronic medical record documentation, laboratory order entry, referrals, or prior authorizations.
• Familiarity with Tebra/Kareo, Epic, RingCentral, Microsoft Teams, or similar healthcare and communication platforms.
• Experience supporting an endocrinology clinic or another medical specialty is a plus.
