This is a fully remote position, open to applicants in Peru.
• Professionally handle incoming calls from patients and families in both English and Spanish.
• Address inquiries via phone calls, voicemails, online forms, emails, and other communication methods used by the clinic.
• Perform initial telephone screenings and collect vital information from patients or their parents.
• Determine insurance, Medicaid, self-pay, and nonprofit financial assistance options.
• Clarify the intake process and assist patients with forms, accessing the patient portal, and necessary documentation.
• Conduct preliminary financial eligibility assessments in accordance with clinic protocols.
• Identify any incomplete intake, insurance, or financial requirements and collaborate with the back-office team on complex issues.
• Schedule and reschedule appointments once the required intake paperwork and pre-appointment documentation are finalized.
• Work alongside therapists, psychologists, interns, and administrative staff to ensure a seamless patient experience.
• Review and prioritize outstanding voicemails, unread inquiry forms, and pending communications from patients.
• Follow up with potential patients regarding incomplete forms, portal requirements, and steps for enrollment.
• Assist patients who may struggle with technology in completing electronic paperwork and navigating the patient portal.
• Ensure accurate documentation of patient intake, eligibility, scheduling, and follow-ups in AdvancedMD.
• Communicate ongoing issues, accomplished tasks, and patient needs with remote clinical and administrative team members.
• Safeguard patient information and adhere to HIPAA, privacy, and clinic documentation standards.
• Document and refine front-office workflows and Standard Operating Procedures.
• Recognize recurring questions, process bottlenecks, and gaps, and assist in transforming solutions into standardized procedures.
• Proficient in both verbal and written communication in English and Spanish.
• Prior experience in healthcare, medical administration, patient intake, medical reception, or a related support role.
• Excellent phone communication skills and active listening abilities.
• Capacity to interact compassionately with patients and families in emotional or stressful circumstances.
• Strong organizational skills, with an emphasis on follow-up and multitasking.
• Familiarity with EHR systems, patient portals, scheduling software, or similar healthcare technologies.
• Keen attention to detail in managing patient information and documentation.
• Ability to work autonomously while maintaining proactive communication with a remote team.
• Solid understanding of patient confidentiality and HIPAA regulations.
• Consistent attendance and punctuality.
• A dedicated private workspace conducive to handling confidential patient information.
• A Windows PC with at least an Intel i5 processor, or a Mac with an M2 processor or higher.
• A stable internet connection with speeds of approximately 50 Mbps or higher.
