This is a fully remote position, open to applicants in Brazil.
• Manage both inbound and outbound patient communications in English and Spanish.
• Address emails, texts, and patient inquiries with professionalism and promptness.
• Deliver friendly, empathetic, and patient-focused customer service.
• Conduct reminders for appointments and follow up on treatment.
• Assist in enhancing patient engagement and acceptance of treatment.
• Schedule, confirm, reschedule, and efficiently manage patient appointments.
• Coordinate calendars and optimize scheduling processes.
• Ensure that patient information and appointment details are accurate and up-to-date.
• Facilitate effective communication between patients and the dental team.
• Verify insurance eligibility, benefits, and coverage before appointments.
• Aid in billing coordination and the posting of payments.
• Support follow-up on claims and manage insurance documentation.
• Help patients comprehend coverage and payment-related details.
• Oversee patient intake and updates to demographic information.
• Maintain precise digital records and documentation.
• Assist with data entry, reporting, and administrative processes.
• Ensure all records are organized and compliant with HIPAA regulations.
• Contribute to additional operational tasks to enhance office efficiency.
• Proficiency in both English and Spanish (spoken and written) — REQUIRED.
• Must have an English proficiency level of C1 or higher.
• Possess clear and professional communication skills with a neutral accent preferred.
• A minimum of 1–2 years of experience in U.S. dental administration.
• Experience in U.S. healthcare administration.
• Background in dental front desk support.
• Familiarity with medical scheduling or insurance coordination.
• Strong knowledge of dental workflows.
• Proficient in insurance verification.
• Experienced in appointment scheduling.
• Competent in patient communication.
• Experience using dental PMS platforms such as Dentrix, Eaglesoft, Open Dental, or similar systems.
• Excellent multitasking and organizational skills.
• High attention to detail and professionalism.
• Ability to work independently in a remote setting.
• Strong sense of accountability, confidentiality, and adherence to HIPAA compliance.
