šŸ“‹ Description

• The Associate, Strategic Services acts as the project manager for a portfolio of nonprofit clients, assisting our Client Services team in driving proactive, strategic, and operational efforts across engagements and internal projects.

• Provide high-quality, timely, and pertinent support to both Client Services and the Strategic Services team, emphasizing exceptional service and innovation.

• Oversee daily project execution by creating agendas, capturing and synthesizing notes, tracking action items in Asana, and ensuring follow-through among stakeholders.

• Assist Client Services by formulating and executing actionable project plans, utilizing Aperio Resources to facilitate efficient, high-quality delivery.

• Design, implement, and enhance systems to support Strategic Services operations, including tracking deliverables across the client portfolio, managing team workflows (e.g., inboxes), and assisting with reporting, planning, and internal initiatives.

• Manage communication across diverse internal and external stakeholders, ensuring timely progress on projects.

• Provide direct organizational and project support to the Senior VP on special capacity-building initiatives, such as: implementing AI, client feedback surveys, product development, and the creation of resources for Aperio’s ā€˜resource library’.

• Offer general operational support to client services management, including data collection, reporting & analysis, planning call topics/agendas, and creating resources for the team.

• Assist with special projects, including vendor relations, drafting communications (e.g., emails, memos), and administrative tasks.

• Serve as a subject-matter expert on the contents of the ā€˜resource library’, guiding team members to the most relevant resources and proactively developing strategies to overcome challenges.

• The Associate ensures the timely and quality fulfillment of all ā€˜shared services’—deliverables created by subject-matter experts—provided to the Client Services team to support their service delivery to clients.

• Oversee and manage Asana queues for client deliverables across writing, design, data & analytics, research, and DevOps support.

• Guarantee that deliverables are of high quality, meet client expectations, and are delivered on time.

• Prioritize, assign, and monitor deliverables across queues, providing clear updates to stakeholders to ensure timely, high-quality completion.

• Act as a liaison between requestors on the Client Services team and subject-matter experts working on deliverables (typically members of Aperio’s Expert Network or team members), facilitating communication and resolving inquiries to ensure timely, quality deliverables.

• Deliver exceptional customer service to Expert Network members, ensuring they receive optimal support in their collaborations with the Client Services team.


ā›³ļø Requirements

• Minimum of 3 years of experience in project management; experience in fundraising, events, and/or consulting is preferred.

• Proven analytical skills, with advanced experience in Microsoft Excel preferred.

• Operationally minded, with exceptional attention to detail and consistent follow-through.

• Strong relationship management, interpersonal, collaboration, and communication skills (both written and oral).

• Ability to effectively engage with all levels of staff, clients, management, vendors, etc.

• Proficient in managing upward and asking insightful questions of leadership.

• Skilled at designing foolproof systems and processes.

• Proactive in identifying opportunities to streamline operations and enhance processes through effective communication and teamwork.

• Demonstrated capability to manage complex projects to successful conclusions.

• Self-motivated with the ability to complete tasks with minimal guidance and supervision.

• Eager to learn new knowledge and skills.

• Experience with CRMs is preferred.

• Excellent organizational skills and abilities.

• Proficient in Microsoft Office applications including PowerPoint, Word, and Outlook.

• Willingness to travel for assignments as needed.
