Associate Director – External Engagement

This is a fully remote position, open to applicants in United States.

📋 Description

• Lead the strategy and governance for vendors, encompassing RFP assistance, vendor selection, contributions to contract negotiations, and ongoing relationship management in collaboration with Procurement.

• Oversee and manage the complete planning process for vendor-delivered logistics related to various external engagements such as advisory boards, HCP/KOL meetings, congresses, and partner meetings.

• Ensure compliance and timeliness in contracting, honoraria processing, expense payments, and accurate reporting for interactions with external experts, working closely with Medical Affairs Operations.

• Facilitate effective cross-functional communication before and after significant engagements to guarantee alignment, preparedness, and opportunities for continuous improvement.

• Manage vendor-related budget planning, forecasting, tracking, invoice reviews/approvals, and financial governance in accordance with contractual obligations.

• Identify and implement strategies for cost savings, operational efficiencies, and value realization from vendor partnerships, maintaining a strong focus on risk and compliance.

⛳️ Requirements

• A Bachelor's degree is required.

• A minimum of 7 years of experience in vendor management, outsourcing, or operational leadership within the pharmaceutical, biotech, or healthcare sectors.

• Proven experience in managing logistics for external engagements, event operations, and/or support for HCP interactions.

• Strong capabilities in vendor management, including negotiation skills and performance oversight.

• Comprehensive understanding of global compliance and regulatory standards pertinent to external expert engagements, including fair market value (FMV) and aggregate spend reporting principles.

• Solid financial acumen with experience in managing budgets, forecasting, and overseeing invoices/contracts.
