This is a fully remote position, open to applicants in Pennsylvania.
• Deliver critical project coordination and administrative assistance to ensure construction projects remain organized, compliant, and adhere to timelines from initiation to completion.
• Provide support to Project Managers and Construction Managers with daily administrative tasks related to projects.
• Aid in the establishment of projects, including organizing project files, schedules, tracking logs, and utilizing project management systems.
• Keep project information current and accurate in systems such as Salesforce, Procore, and other relevant business platforms.
• Create, review, and disseminate project documentation, which encompasses contracts, subcontracts, change orders, transmittals, correspondence, and materials for meetings.
• Monitor project milestones, deliverables, and essential deadlines.
• Ensure that both electronic and physical project records are maintained in an accurate and organized manner.
• Oversee document control processes, including submissions, RFIs, drawings, revisions, approvals, and correspondence related to projects.
• Confirm that project documentation is appropriately version controlled and shared with the relevant stakeholders.
• Assist in project reporting, dashboards, logs, and status updates.
• Support tracking of project costs, purchase orders, sales orders, invoices, and documentation related to change orders.
• Help with monthly reporting, billing assistance, and collection of lien waivers.
• Facilitate communication among project teams, clients, subcontractors, vendors, and internal stakeholders.
• Organize and coordinate meetings, site visits, project reviews, and conference calls.
• Prepare meeting agendas, document minutes, and follow up on action items.
• Monitor project development and maintain regular communication with project teams, clients, and sales personnel.
• Assist in the development of proposals, including Requests for Proposals (RFPs) and Statements of Qualifications (SOQs).
• High school diploma or equivalent is mandatory; an Associate's or Bachelor's degree is preferred.
• 2–5 years of experience in administrative roles, project coordination, construction, engineering, or related project-focused fields.
• Prior experience supporting teams in construction, engineering, architecture, or project management is preferred.
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Familiarity with project management and document control systems such as Procore, SharePoint, Bluebeam, Primavera, or similar platforms is preferred.
• Experience with Foundation, Syspro, Salesforce, or similar business systems is advantageous.
