Assistant Project Manager

This is a fully remote position, open to applicants in Pennsylvania.

📋 Description

• Deliver crucial project coordination and administrative assistance that ensures construction projects remain organized, compliant, and adhere to schedules from inception to completion.

• Assist Project Managers and Construction Managers with the daily administration of projects.

• Help with the establishment of projects, including the creation of project files, schedules, tracking logs, and management systems.

• Maintain and revise project details within Salesforce, Procore, and other business systems.

• Prepare, review, and disseminate project documentation, such as contracts, subcontracts, change orders, transmittals, correspondence, and meeting materials.

• Monitor project milestones, deliverables, and key deadlines.

• Keep accurate and well-organized electronic and physical project records.

• Oversee document control processes, including submittals, RFIs, drawings, revisions, approvals, and project correspondence.

• Ensure project documentation is correctly version-controlled and shared with the relevant stakeholders.

• Assist with project reporting, dashboards, logs, and status updates.

• Support project cost monitoring, purchase orders, sales orders, invoices, and change order documentation.

• Collaborate with accounting and project teams to guarantee the prompt processing of invoices and payments.

• Track project progress and maintain regular communication with project teams, customers, and sales personnel.

• Ensure the completion of project closeout documentation is accurate and that projects are finalized in a timely manner.


⛳️ Requirements

• A high school diploma or equivalent is required; an Associate's or Bachelor's degree is preferred.

• 2–5 years of experience in administrative roles, project coordination, construction, engineering, or related project-based work.

• Preferably experienced in supporting teams in construction, engineering, architecture, or project management.

• Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

• Preferably experienced with project management and document control systems such as Procore, Salesforce, or similar platforms.

• Excellent organizational, documentation, and record-management abilities.
