This is a fully remote position, open to applicants in Philippines.
• Gather and process ARC requests as necessary.
• Generate work orders and service requests in accordance with company policy.
• Facilitate access for service providers as needed to fulfill service requests.
• Dispatch invoices to Accounts Payable.
• Oversee and manage unit leases and insurance for units.
• Handle applications for move ins and move outs.
• Organize schedules for move ins and move outs.
• Daily processing of owner verification forms.
• Supervise and process clubhouse reservations.
• Arrange and coordinate access and inspections for the clubhouse.
• Support special projects as directed by the Regional Vice President, Regional Director, or Community Manager.
• Compose, proofread, and send communications to boards and communities, including issuing e-blasts through designated software.
• Assist managers in the preparation for Board meetings and Annual Meetings.
• Track and compile meeting proxies and ballots.
• Schedule and set up meetings in the conference room.
• Maintain community contacts for Associations.
• Foster and maintain positive relationships with other departments within the organization.
• In Vantaca, enter and respond to Action Items designated to the ACM role.
• In Vantaca, upload documents and manage information (owner contact, Additional Info, etc.).
• Monitor and reply to email correspondence for both personal and regional inboxes.
• Must be professional and courteous.
• Possess strong organizational skills and attention to detail.
• Have robust administrative skills.
• Capable of prioritizing tasks and ensuring follow-through.
• Ability to troubleshoot issues effectively.
• Team player with collaborative spirit.
• Proficient in using all business-related software applications and hardware.
• Quick learner of new software platforms.
• Able to accurately perform data entry tasks.
• Proficient in negotiation and mediation skills.
• Ability to read and comprehend association governing documents.
