This is a fully remote position, open to applicants in Colorado.
• The Admissions Coordinator serves as the primary contact for families and clients.
• Facilitates the management of the entire admissions process.
• Evaluates applicants by gathering pertinent information and clearly conveying all aspects of the program and its requirements.
• Responds to phone inquiries and provides details about NRT’s programs and services.
• Acquires and retains knowledge of RTC, HIOP, IOP, OP, and Detox admission criteria.
• Inputs admissions and referral data into the CRM system.
• Maintains regular communication with Admissions leadership regarding the admission strategy.
• Conducts client transports when necessary.
• Manages complex admissions processes involving multiple individuals.
• Evaluates the clinical and financial qualifications of clients for suitable admission.
• Coordinates financial arrangements for private-pay and/or insurance treatment, including benefit verification, identifying a financial guarantor, and setting up payment plans.
• Collects and/or organizes logistics for payment collection.
• Communicates internally with the Medical/Clinical team to ensure prospective clients meet the necessary admissions criteria and receive approval.
• Collaborates with Marketing/Outreach to expedite referrals to and from the facility.
• Manages pre-admission communications with clients, family members, and referents.
• Conducts pre-admission assessments.
• Responds to all telephone inquiries regarding admissions to the facility within 30 minutes of a missed call.
• Ensures that admissions to the facility are completed in a timely and seamless manner.
• Guarantees satisfaction for clients, families, and referents regarding the Admissions process.
• Assists with Alumni communication and the collection of post-treatment program outcomes data.
• Upholds strict client confidentiality and complies with HIPAA regulations.
• Adheres to Joint Commission and all State and Federal regulations.
• Bachelor’s degree preferred; high school diploma or equivalent required.
• Basic experience in customer service, sales, or marketing is preferred.
• Experience in the substance abuse or mental health field is preferred.
• Familiarity with CRM systems is preferred.
• Must possess a valid, unrestricted Driver's License.
• Excellent verbal and written communication abilities.
• Strong skills in building relationships.
• Ability to listen attentively and provide solutions.
• Must act with integrity, professionalism, and maintain confidentiality.
• Willingness to learn and possess a teachable attitude.
• Strong collaboration skills with a capacity for creative thinking and idea sharing.
• Availability for on-call duties during evenings and weekends via telephone.
• Proficient with Microsoft Office Suite or similar software.
• Quick to adapt to new systems and platforms.
