This is a fully remote position, open to applicants in United States.
• Collaborate closely with the admin manager to manage daily administrative tasks.
• Assist in designing visual representations of admin SOPs and announcements using tools like CANVA or others.
• Support in the dissemination of SOPs and respond to inquiries on behalf of the admin manager.
• Aid in updating and maintaining office policies and procedures.
• Create and uphold a filing system for all essential compliance documents requiring admin oversight.
• Work in conjunction with HR to update and maintain records of IT assets.
• Assist the admin manager in procuring office and event supplies while researching new deals and potential suppliers.
• Provide general support to visitors as directed by the admin manager.
• Serve as the main point of contact for internal and external clients.
• Coordinate with the admin manager to address requests and inquiries from MANCOM/EXECOM.
• Support the admin manager in managing suppliers and internal stakeholders.
• Undertake various administrative errands weekly (fieldwork) and receive packages when housekeeping staff are unavailable.
• Execute additional tasks that are related, supplementary, or complementary to the primary role.
• The ability to report on-site at least three times a week is preferred but not mandatory.
• Open to undergraduate applicants with a minimum of 2 or 3 years of college education, who possess experience in admin coordination and liaison roles.
• Preferred candidates will have pursued courses in Business, Marketing, or International Relations, with an understanding of business processes.
• Familiarity with office management systems and procedures is essential.
• Excellent time management abilities and the capacity to prioritize tasks effectively.
• Strong organizational skills with the ability to handle multiple tasks simultaneously.
• Detail-oriented with solid problem-solving capabilities.
• Practical knowledge of office equipment such as printers and fax machines.
• Possess strong communication, liaison, and coordination skills.
• Highly trainable and adaptable in addressing task-related challenges.
