This is a fully remote position, open to applicants in United States.

📋 Description

• Assist in supporting established workflows, schedules, deadlines, and recurring administrative tasks within the department.

• Monitor assigned action items, tasks, deliverables, and due dates utilizing established tools and processes.

• Prepare, document, and distribute regular meeting notes, action items, and departmental updates using predefined templates.

• Aid in coordinating departmental initiatives by collecting information, updating trackers, and executing assigned administrative tasks.

• Follow up on assigned items and communicate the status to the relevant manager or department partner.

• Escalate questions, missing information, delays, or potential issues to the appropriate manager for further guidance.

• Assist in the preparation and maintenance of routine reports, dashboards, presentations, and departmental documentation.

• Organize and maintain electronic records and documentation in accordance with established standards.

• Support department partners with recurring administrative and operational activities as required.

• Maintain and update departmental systems, including rosters, intake forms, spreadsheets, and tracking tools.

• Input and update workforce information, including employee names, roles, program assignments, and start and end dates.

• Review assigned records for any missing or incomplete information and escalate discrepancies for review.

• Assist in onboarding, training, compliance, and workforce readiness activities by utilizing established checklists and processes.

• Collaborate with HR, Administrative Services, Training, and other internal teams as instructed.

• Acquire knowledge of department-specific systems, workflows, and documentation requirements.

• Help with travel arrangements and logistics for leadership and departmental activities.

• Maintain information related to travel, hotels, vendors, and departmental references.

• Assist with administrative tasks related to expenses and timesheets.

• Support the coordination of internal meetings, events, and departmental activities.

• Aid in calendar management and scheduling of both internal and external meetings.

• Utilize Microsoft Office and other approved business tools to accomplish routine administrative tasks.

• Develop proficiency in Excel, Word, Outlook, PowerPoint, Teams, SharePoint, and other departmental systems.

• Employ approved AI-enabled and digital tools to assist with drafting, organization, documentation, and routine administrative work.

• Participate in training for new systems, applications, and digital tools.

• Identify common administrative challenges and communicate them to the relevant manager or department partner.

• Complete assigned tasks and deliverables punctually and within budget.

• Carry out other related duties as assigned.


⛳️ Requirements

• Basic knowledge or familiarity with administrative and clerical procedures such as word processing, file management, recordkeeping, and general office practices.

• Preferred experience in scheduling, travel coordination, or event support.

• Beginner-level proficiency with Microsoft Office applications including Excel, Word, Outlook, PowerPoint, and Teams.

• Prior experience with SharePoint, Adobe, or Bluebeam is advantageous but not mandatory.

• Basic understanding of AI-enabled or digital productivity tools is beneficial but not required.

• Willingness and ability to learn new software, systems, and administrative processes.

• Capability to follow written and verbal instructions and established procedures.

• Ability to accept feedback and apply directions to future assignments.

• Skill in completing assignments accurately with a focus on detail.

• Proficiency in professional communication in both written and verbal forms.

• Willingness to ask questions and seek clarification when requirements are unclear.

• Ability to collaborate effectively as part of a team.

• Capacity to maintain confidentiality and handle sensitive information appropriately.

• Competence in working successfully in a fully remote environment with direct supervision, regular communication, and established expectations.

• Ability to keep organized and complete documents and electronic files.

• Skill in managing multiple assigned tasks and communicating when priorities or deadlines conflict.

• Dependability, professionalism, and consistent follow-through.

• Self-motivation and a willingness to progressively develop greater independence as skills and experience increase.

• A minimum of two years of experience in a professional office or consulting services environment.
