This is a fully remote position, open to applicants in United States.
• Assist the Office of Head Start Customer Service regional teams with their daily and weekly administrative tasks.
• Organize meetings and logistics, take notes, and prepare necessary documentation.
• Direct inquiries to the appropriate offices and personnel.
• Provide administrative support to both regional and headquarters Customer Service contract and federal teams.
• Oversee calendars and schedule meetings accordingly.
• Track and maintain meeting action items until they are resolved.
• Aid in data entry activities.
• Create and assist in developing PowerPoint presentations, Excel spreadsheets, and other business documents.
• Draft and proofread correspondence, reports, and presentations as needed.
• Organize and maintain important documents, files, and records efficiently.
• Ensure both confidentiality and easy access to documents and records.
• Facilitate reporting and informed decision-making through data collection, aggregation, analysis, and presentation.
• A minimum of 2 years of relevant professional experience.
• Proficient in Microsoft Office Suite, including Excel, Word, and PowerPoint.
• Experience in crafting professional reports, correspondence, presentations, and spreadsheets.
• Familiarity with data entry and web-based software, data management platforms, and organizational database systems.
• Ability to collect, aggregate, analyze, and present data from various sources.
• Strong written and verbal communication abilities.
• Exceptional organizational and time management skills.
• Capability to prioritize multiple assignments and meet deadlines in fast-paced environments.
• Ability to work both independently and as part of a team.
• Commitment to following established policies, procedures, and quality standards.
• Maintain confidentiality, discretion, and professionalism when dealing with sensitive information and records.
• Ability to pass background checks as required for access to federal facilities and systems.
• Public Trust clearance is mandatory.
• An Associate’s degree is required.
• Full-time non-exempt position.
• Standard work hours are Monday–Friday, totaling 40–50 hours per week.
• Overtime is anticipated during peak periods.
• 5–10% local and regional travel may be required, including necessary overnight stays.
• Virtual/remote work setting is available.
