This is a fully remote position, open to applicants in Texas.
β’ Support the Project Manager in daily administrative tasks, meeting preparations, and tracking schedules.
β’ Set up and onboard new construction projects within internal systems.
β’ Keep digital job files organized in JobTread and Google Workspace.
β’ Monitor outstanding deliverables and proactively engage with general contractors, vendors, subcontractors, and internal teams.
β’ Prepare, distribute, and monitor Requests for Information (RFIs), material submittals, and official project communications.
β’ Handle change order documentation, record changes, and ensure precise cost tracking throughout the project lifecycle.
β’ Gather, verify, and organize project closeout documents, including warranties, O&M manuals, and final punch lists.
β’ Retrieve job cost data and extract financials for budget review meetings.
β’ Ensure project documentation corresponds with budget logs and vendor billing agreements.
β’ Over 2 years of administrative or operational experience in project coordination, executive support, or project administration.
β’ Previous experience in the construction industry is highly preferred, especially in supporting commercial construction projects or General Contractors/Subcontractors.
β’ Understanding of construction workflows, including RFIs, submittals, change orders, and job closeouts.
β’ Proficiency in Google Workspace (Docs, Sheets, Drive).
β’ Experience with construction management software like JobTread, Procore, or similar platforms is a significant advantage.
β’ Outstanding organizational, written, and verbal communication skills.
β’ Strong capability to work independently.
β’ Direct experience in supporting a Construction Project Manager on commercial building projects is a plus.
β’ Familiarity with job costing, AIA billing, or construction budgeting processes is a plus.
β’ Proven ability to manage extensive follow-ups across multi-stakeholder teams is a plus.
β’ Ability to work during U.S. business hours, with a preference for Central Time.
