This is a fully remote position, open to applicants in Philippines.

📋 Description

• Evaluate and approve incoming real estate transaction files submitted by agents, ensuring they are complete and accurate.

• Classify and arrange documents into the correct online folders within HomeSmart’s internal system.

• Prepare transaction files for broker assessment in line with established timelines and compliance regulations.

• Acquire and implement knowledge of real estate documents (such as purchase agreements, disclosures, and addenda) to accurately categorize and manage files.

• Engage professionally with internal team members regarding missing documents or follow-up items through email.

• Keep organized digital records and ensure all documents are appropriately stored and labeled.

• Identify any incomplete, incorrect, or non-compliant files and escalate issues as necessary.

• Assist with general administrative duties as assigned by the team.

• Opportunity to evolve into a client- and agent-facing phone support role over time.


⛳️ Requirements

• Strong computer proficiency and comfort with navigating cloud-based platforms and document management systems.

• High attention to detail with the capability to manage large volumes of documents accurately.

• Excellent written communication skills in English.

• Willingness to learn and understand real estate documents with provided training.

• Strong organizational abilities and skill in prioritizing tasks in a fast-paced environment.

• Reliable internet connection and a professional remote work setup.

• Previous experience in a role related to real estate, legal, mortgage, or administrative support (preferred).

• Familiarity with transaction management platforms (such as DocuSign, Dotloop, Skyslope, or similar) (preferred).

• Experience in a remote, production-oriented environment (preferred).

• Strong interpersonal, customer service, and communication skills (preferred).

• Ability to multitask effectively (preferred).

• Proficient in the Microsoft Office suite (preferred).
