This is a fully remote position, open to applicants in United States.
• Coordinate and oversee comprehensive calendars and schedules for executives and team leaders, which includes planning meetings, arranging travel, and coordinating appointments.
• Manage a high volume of email correspondence with precision, prioritization, and prompt, professional replies.
• Organize, maintain, and securely archive both digital and physical records in accordance with company policies and data security protocols.
• Prepare and disseminate meeting agendas, minutes, and follow-up action items with consistency and meticulous attention to detail.
• Assist in the development of reports, presentations, and other essential business documents as needed.
• Act as the main liaison for both internal and external stakeholders, providing accurate information and responsive, professional support.
• Support daily office operations by managing supply inventories, coordinating vendor communications, and addressing logistical requirements.
• Identify inefficiencies in processes and propose data-driven, practical enhancements to improve administrative performance.
• High school diploma or equivalent; an associate’s degree or certification in administrative support, business administration, or a related field is preferred.
• Proven experience in an administrative support capacity, with less than 3 years of professional experience.
• Proficient in scheduling applications such as Microsoft Outlook and Google Calendar.
• Competent in email management, including triaging, categorizing, and responding to messages efficiently.
• Experience in organizing and maintaining filing systems in both digital and physical formats.
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), along with familiarity with cloud collaboration tools like SharePoint and Teams.
• Outstanding written and verbal communication skills, maintaining a professional tone and a strong commitment to accuracy.
• Ability to manage numerous priorities, meet deadlines, and quickly adapt to changing demands.
